Triovest, one of the largest privately-owned Canadian commercial real estate companies, is seeking a Procurement Administrator in Calgary. The successful individual will be responsible for reviewing and pre-qualifying new vendor’s, creating the vendor profile in Yardi, generating Service Contracts upon request and routing for appropriate signature for execution. This position acts as a liaison between the Procurement team and our other internal teams and must possess strong knowledge of procurement policies and procedures.

KEY RESPONSIBILITIES

Assist in the maintenance of the National Procurement Policy and ensure that all expenditures adhere to this policy.  Conduct periodic national audits to ensure compliancy with the National Procurement Policy. Maintain Vendor relationships and ensure that the management database both in Yardi and ContractorCheck are continuously monitored to ensure that a vendor maintains their Pre-Qualification Status. Ensure all documents and templates are version controlled and communicated to the field in a timely manner. Responsible for a thorough review of new Vendor’s to ensure they meet the pre-determined set of qualification criteria as well as setting up the approved vendor in Yardi. Process Service Contract requests to Yardi and routing for approvals until executed.

QUALFICATIONS & ATTRIBUTES

A post-secondary degree in a related field is preferred. A minimum of two (2) years of procurement administration experience. A background in commercial real estate or property management is an asset. Experience in Yardi Voyager is an asset. Intermediate Microsoft Office skills. Understanding of basic bookkeeping practices relating to invoices and credits. Strong data entry skills. Ability to manage large volume of work through effective prioritization and superior execution. Proactive in identifying potential issues and taking preventive measures to mitigate risks. Collaborative approach to problem-solving and relationship development, and ability to work effectively with individuals at all levels of the organization. Excellent written and verbal communication skills, including the ability to interact effectively with clients, tenants, team members, and service providers. A client-centric approach, prioritizing client service and the ability to build and maintain client trust. Exceptional organizational skills to manage multiple properties, teams, and projects simultaneously. A keen eye for detail, ensuring that operational and financial aspects of the properties are meticulously managed. Passionate about fostering an inclusive and positive organizational culture. A dedication to providing exceptional service, every day. The ability to adapt to change in a positive way and deliver successful results within a given time frame. A team-oriented approach to meeting goals and objectives.
