Department Coordinator

- Plan and maintain comprehensive records on budget expenditures for the Digital Labs leadership team.
- Carry out administrative functions such as meeting coordination, expense management, and vendor reception, as directed by the leadership team.
- Create, Process, and Track Purchase Order requisitions on behalf of the team and send them to vendors.
- Be the primary contact for vendors for billing and invoice-related queries & liaise with the Accounting team for timely processing.
- Process expense and on-call reports for the team.
- Support our Program Management team with project coordinator duties such as meeting scheduling, material development, and project budgets.
- Assist in the extraction and preparation of data and reporting.
- Support the department in planning and execution of townhalls, team meetings, department communication, and overall business effectiveness duties.
Qualifications

- 1-2 years experience in an Administrative Assistant role.
- Experience processing POs, managing invoices, and executing expenses is required.
- Experience working within and/or supporting a Technology and/or Digital Department is an asset.
- Experience handling and coordinating third-party vendors.
- Basic understanding of fundamental accounting and budgeting principles. Prior experience managing budgets and expenses would be considered an asset.
- Expert level competence with MS Office.
- Excellent organizational skills.
- High level of professionalism, confidentiality, and tact.
- Proven ability to succeed in a dynamic corporate environment, often under tight timelines and multiple priorities.
- Solid interpersonal skills and ability to work in a team environment to share expertise, and contribute ideas to achieve common goals.
- Work in compliance with the provisions of the Occupational Health & Safety Act.
