Essential Functions

  • Greets visitors, answers telephone, responds to questions or requests, and conveys messages as required.
  • Coordinates travel arrangements, meetings, updates and maintains calendar appointments.
  • Prepares required materials for conferences, meetings, calls, and various appointments.
  • Assists with creation of reports, presentations, etc., including researching, compiling, analyzing and/or developing necessary information and materials.
  • Ensures the efficient daily operation of the office and department functions, including maintenance of supplies and equipment.
  • Responsible for records management including organizing and maintaining office filing system.
  • Organizes and maintains office filing system.
  • Reads and analyzes incoming memos and determines the appropriate course of action.
  • Receives and responds to routine correspondence.
  • Serves as a knowledge resource to other employees.
  • Performs other duties as assigned.

Scolarité minimum

  • Diplôme d’études secondaires ou GED.

Expérience minimum

  • Cinq (5) ans d’expérience requise dans le soutien administratif ou dans un domaine connexe ; deux(2) de ces années en tant qu’administrateur de bureau II ou une expérience administrative équivalente à l’appui d’un poste de gestionnaire ou de personnel de district.

Connaissances et compétences

  • Compétences logicielles, y compris l’utilisation des logiciels Microsoft Office et des applications en ligne.
  • Compétences commerciales générales telles que la dactylographie ; saisie et examen des données ; et utilisation du téléphone, du copieur et du télécopieur.
  • Capacité de suivre des instructions détaillées pour effectuer des procédures de routine et/ou utiliser un équipement standard.
  • Compétences de service à la clientèle nécessaires pour répondre efficacement et professionnellement aux demandes.
  • Compétences de communication verbales et écrites nécessaires pour expliquer des informations complexes et/ou confidentielles.
  • Gestion du temps, compétences organisationnelles et multitâches nécessaires pour travailler dans un environnement rapide, gérer diverses tâches et priorités changeantes, tout en maintenant une grande attention aux détails et une précision pour atteindre les tâches et objectifs quotidiens.
  • Capacité à encadrer, à encadrer et à agir comme une ressource de connaissances pour d’autres employés.

Les candidats feront en outre l’objet d’une évaluation basée sur l’examen approfondi :

  1. de leur dossier de conduite courant,
  2. des résultats de leur entrevue et
  3. des résultats de toute évaluation de leurs compétences de conducteur.
