The Role  

We are seeking a detail-oriented and proactive Inventory Support Coordinator to join our team. In this role, you will play a critical part in ensuring the accurate and timely release of sales orders, supporting Sales Consultants, and resolving discrepancies. You will also manage serial number issues, troubleshoot previously sold items, and collaborate with various departments to maintain accurate records and resolve order-related challenges. The ideal candidate thrives in a fast-paced environment, excels in data accuracy, and possesses strong communication skills.

 

What you will be doing

1.       Sales Orders

  • Ensure the timely and accurate release of all sales orders, verifying completeness and correctness before processing.
  • Provide prompt support to Sales Consultants by troubleshooting sales order issues and ensuring proper documentation is in place.
  • Monitor the status of sales orders, flagging any discrepancies or delays in processing.
  • Collaborate with inventory control and sales departments to resolve order-related issues and communicate effectively on order statuses.
  • Maintain audit-ready documentation, ensuring compliance with company policies.
  • Record and file all released sales orders, ensuring accurate record-keeping for future reference.

2.       Serial Number Management and Troubleshooting

  • Identify and resolve discrepancies in sales orders related to missing or incorrect serial numbers.
  • Investigate missing serial numbers by coordinating with sales, warehouse, and inventory teams.
  • Input and update correct serial numbers in the system, maintaining accurate product information.
  • Track and verify serial number data to ensure compliance with company policies.
  • Keep Sales Consultants, inventory control, and management informed of serial number issues and progress on corrections.

3.       Previously Sold Items Troubleshooting

  • Analyze and resolve issues related to previously sold items, including incorrect orders, returns, or incomplete documentation.
  • Collaborate with sales, warehouse, and customer service teams to gather information and resolve discrepancies.
  • Ensure necessary corrections are made to sales orders, inventory records, or serial number information for previously sold items.
  • Track the progress of investigations and provide timely updates to relevant parties.
  • Document troubleshooting activities and maintain accurate records for audits and future reference.

To be successful in this role you must have

  • 1-3 years of relevant experience in administrative, inventory control, or sales support roles.
  • Strong attention to detail with proven accuracy in data entry, document verification, and resolving discrepancies.
  • Ability to manage filing systems and prioritize tasks in a fast-paced environment.
  • Proficiency in Excel, Word, Outlook, and inventory systems.
  • Strong communication skills with the ability to collaborate across multiple departments.
  • Experience in troubleshooting serial numbers, sales orders, and previously sold items.
