DUTIES AND RESPONSIBILITIES: 

This position supports student success by providing academic and program guidance for current, potential, and at-risk students, referring students to appropriate college resources, and recommending alternate learning strategies.

Provides Academic Guidance:
  • Support students by developing individualized academic plans with the aim of increasing retention, graduation and student success.
  • Advise students in 50+ programs ranging across multiple disciplines.
  • Support complex student academic journeys; each PPL student requires their own unique pathway due to the flexible nature of our programming.
  • Assist students in navigating unique and complex challenges associated with OntarioLearn, a consortium of 27 educational institutions.
  • Refer students to college resources, e.g., study skills workshops, health and wellness, peer tutoring, mental health and crisis support, etc. 
  • Provide information for students transferring to other programs.
  • With student consent, meet with parents/external agencies to explain academic policy, student rights and responsibilities, academic options etc.
  • Thoroughly document all student interaction – maintain records of information provided to students, date(s) and means of contact, e.g., email, voicemail, appointment as well recommended referrals, strategies, academic options.
  • Advocate for students in exceptional circumstances with faculty and/or program team.
  • Inform students regarding the application and interpretation of college policies.
  • Ensure timely and accurate information is provided and communicated in an efficient, professional and student focused manner.
  • Verify and update some portions of student records.
  • Inform students of academic choices, such as part-time versus full-time options and communicate processes with both Registration and Admission related inquiries.
  • Explain PPL’s unique timelines (monthly intakes/OntarioLearn etc.) and support students accordingly. 
Provides Administrative Services: 
  • Register students using Banner.
  • Assist with the review of graduation status.
  • Process advanced standing applications and return to full time studies applications
  • Run reports for review and action by the leadership team.
  • Send student communication regarding upcoming deadlines.
  • Assist with special projects such as collecting and summarizing data.
  • Provide office support.
  • Follow the deadlines/timelines outlined by OntarioLearn. 
  • Support the escalation of student concerns.
  • Support PPL with the student graduation audit process.
Participates in departmental related events/meetings:
  • Assist with student recruiting by participating in events such as: Open House, Program Information Nights, Student Orientation, Student Services events, etc.
  • Attend departmental, program, and other meetings as appropriate, sharing information and providing presentations.
  • Attend regular group meetings and invite various college representatives to discuss policies/procedures/practices to ensure currency.
  • Other related duties as assigned.
QUALIFICATIONS: 
  1. A minimum of a three-year diploma with a strong emphasis on human relations and interpersonal communications skills.
  2. A minimum of five years of related work experience with a focus on student or client interaction and service. 
  3. Outstanding organizational skills, including managing multiple deadlines and tasks with competing priorities.
  4. Must have the ability to manage confidential information securely.
  5. Demonstrated ability to work collaboratively with team members and independently.
  6. Ability to effectively apply an equity, diversity, inclusion and belonging lens to student scenarios as well as appreciate the impacts of intersectionality.
  7. Proven success working in a fast-paced, high volume, complex environment while applying very strong skills in the areas of problem solving, analysis and de-escalation.
  8. Superior interpersonal skills and ability to build rapport with students, staff, faculty and administrators across the college.


Required Skills

Payband: J; Starting Rate: $41.12; Four Year Rate: $47.67 per hour



Required Experience

35 hours per week (1) one hour lunch; Mon – Fri (8:30 am – 4:30 pm)
