We are offering a contract to permanent employment opportunity for a Receptionist in Etobicoke, Ontario, doit être autorisé à travailler au Must be authorized to work in Canada. The role involves a range of administrative and hospitality tasks in a detail oriented setting. The successful candidate will be a key point of contact in our workplace, helping to ensure smooth daily operations and providing a warm welcome to visitors.

Responsibilities:
• Set up the office daily, including preparing meeting rooms for use and maintaining the cleanliness and organization of communal areas
• Oversee COVID-19 related office protocols, including monitoring health checks and supporting cleaning initiatives
• Answer telephones professionally and direct calls to the appropriate departments or employees
• Deliver a high level of hospitality to all guests, including offering refreshments and assisting with inquiries
• Manage incoming and outgoing couriers, ensuring accurate tracking of all packages
• Maintain the office coffee machine and snack bar, ensuring a pleasant and welcoming environment
• Assist in the preparation and service for executive meetings, working closely with the executive assistant
• Sort, stamp, and distribute incoming mail, and assist with invoice scanning and purchase order creation for the finance department
• Keep an inventory of storage rooms and ensure reception is covered at all times
• Support special projects and additional duties as necessary, including corporate events and community involvement
• Issue and track key fobs and car transponders for staff, while maintaining a tidy reception area
• Provide support to the Human Resources team when required and assist with any changes to the office layout.
• Minimum of 3 years of experience in a similar role or in customer service
• Proficient in receptionist duties including handling incoming calls, managing correspondence, and greeting visitors
• Experience in part-time receptionist roles is a plus
• Ability to maintain activity logs and other administrative records with accuracy
• Excellent communication and interpersonal skills
• Proficiency in using office equipment such as fax machines, photocopiers, and scanners
• Ability to multitask and manage time effectively
• Strong organizational skills and attention to detail
• Familiarity with office management procedures and basic accounting principles
• Proficient in Microsoft Office Suite, particularly Word and Excel
• High school diploma; additional qualifications will be a plus.
