Position Summary:

Reporting to the Director, Infrastructure – assist the Highway Operations department with various administration duties including but not limited to: typing, filing, photocopying, updating manuals, preparation of letters/documents, data entry, contract preparation, quotation requests, purchase orders, corridor management and permitting.

Position Responsibilities:

General Administration

Input field data, invoices, payment and other information into Excel Spreadsheets and data basesProvide accurate, organized and efficient administration support to the Highway Technical Services teamSummarize information for the Sr. Manager, Highway Technical ServicesAssist with filing encroachment applications/permits, drawings and other recordsDigitizing records and drawings as well as drawing inventory clean-upAssist with the preparation of purchase orders and procurement documentsUpdating manuals and spreadsheetsMaintain and up-date electronic and hard copy filing systemsDevelop and prepare a variety of documents, reports and formsAssist in the preparation of tender packages to send to contractors

Qualifications/Experience

Business Administration – 2 year Program or equivalent experienceCivil Engineering Technologist - 2 or 3 year ProgramExcellent documentation, communication and organization skillsDetail oriented, committed to accuracyExperience with Microsoft Excel, Access, Word, PowerPoint, VisioGeneral knowledge of accounting, accounts payable, cost reporting/tracking is an assetTeam player capable of working independentlyAbility to prioritize and work well under pressureStrong interpersonal, decision making and problem solving skillsFlexibility in duties performed
