Conference Services Manager

The Conference Services Manager (CSM) isresponsible for communicating with clients and confirming all setup and food and beverage requirements for conference banquetwedding and catering events. This role works closely with the SalesTeam in order to create a seamless guestexperience.

Duties andResponsibilities

  • Act asHotels liaison for conference banquet wedding and catering clientsestablishing and maintaining good working relationships with alldepartments to ensure clientsatisfaction.
  • Communicate with clients prior toand during events to confirm event details and costs and to ensureexpectations are exceeded.
  • Share informationwith the Sales team to develop client relationships and returnbusiness.
  • Upsell by suggesting higherend foodand wine items room upgrades teambuilding activitiesetc.
  • Create floor plans and BEOs for all roomsetups audio/visual and food and beveragerequirements.
  • Ensure all required departmentshave BEOs 10 business days prior toevent.
  • Manage group room blocks attrition anddeposit schedules.
  • Track and manage soldfunction space.
  • Assist the Sales Team with theselling of the hotel whenever needed.
  • Attendweekly sales and communicationsmeetings.
  • Ensure changelogs are updateddaily.
  • Send personalized thankyou notes andevaluation forms to group organizer at completion ofevent

Qualifications:

 

  • Postsecondaryeducation in Business or Hospitality/Tourism is anasset
  • 24 years of experience in F&B andconferences/events
  • Competent in MicrosoftOffice and comfortable learning newsoftware
  • Strong communication and interpersonalskills
  • Excellent organizing and timemanagementskills
  • Able to remain calm while working undervolume and time pressures
  • Customer serviceoriented
  • Keen attention todetail
  • Teamplayer who actively contributes to apositive and supportive workenvironment
