USask is one of the top research-intensive, medical doctoral universities in Canada, and is home to world-leading research in areas of global importance, such as water and food security and infectious diseases.
The Office of the Vice-President Research (OVPR) provides visionary leadership and strategic direction to the university’s research, scholarly, and artistic works. This is achieved by creating strategic partnerships, plans, and policies that together create a supportive research environment indicative of a world-class research-intensive university.
Primary Purpose: Opus is a newly developed incubator operating within OVPR, responsible for growing entrepreneurial thinking and culture at USask, and incubating startup companies built by USask community members. The Program Officer will support the establishment of the program and future program offerings. The incumbent will work with the Opus Manager and unit leadership within Innovation Mobilization and Partnerships to support the coordination and delivery of entrepreneurship programming focused on providing value for campus startup founders working on turning ideas and inventions into solutions the world needs.
Nature of Work: Reporting to the Manager of the Opus incubator, this position is responsible for providing essential support of programming, events and initiatives related to entrepreneurial activities across the institution.
The volume of work is high, and the nature of work is self-directed, unstructured, and deadline driven. The incumbent will be responsible for managing their own workload by setting priorities, meeting targets and deadlines, and reporting on successful outcomes. Knowledge of the campus administration environment is required for success in this position, along with experience building and maintaining relationships with stakeholders.
Flexibility in working hours is necessary, as there will be some evening commitments and occasional travel. Reliable transportation is a requirement.
Typical Duties or Accountabilities:
Program Coordination and Delivery
Research, collect and track results of key program metrics and performance indicators. Contribute to the development (research, draft, edit, proofread) and maintenance of program documents, such as guidelines, reports, presentations and other official materials. Oversee the maintenance of the incubator’s platform software to identify and track key issues, ensure accurate data entry and analysis, and liaise with software vendor to resolve problems and/or make improvements. Train incubator staff and program participants on using the incubator platform software. Support the planning of end-to-end workshop/event/webinar logistics such as vendor research and selection, venue coordination, budget tracking and review, timeline development, post-event evaluations and day-of coordination. Oversee incubator and program leadership calendars, including scheduling program sessions and meetings, proactively identifying conflicts, organizing and disseminating meeting materials, and following up on action items. Collaborate closely with and assist Opus Manager to support stakeholder development as assigned and liaise with funders when required. Exercise sound decision-making and problem-solving to ensure priorities and deadlines are met and take initiative to move beyond completion of assigned tasks to plan for future changes or requirements. Assist in digital outreach activities, including creating social media posts (LinkedIn, Instagram, Facebook) and updating Opus website using Cascade, USask’s web content management system. Maintain collaborative involvement of stakeholders through professional, prompt and courteous communications, including managing requests received through the incubator’s general email and website. Attend innovation ecosystem events and opportunities to help develop positive relationships with community leaders, entrepreneurs, and other stakeholders on and off campus.Office Operations
Provide office support for a full range of program operations, including ordering office materials and supplies, arranging courier services, minute taking, booking meeting rooms and catering services for meetings. Support Opus team and program participants with Concur requests and claims, event registrations, executing payment services, supporting financial reconciliation, coordination and dissemination of onboarding materials and other related activities.Education: A Business Administration Certificate or other recognized post-secondary business/administrative program is required. An undergraduate degree in a related field or educational setting is preferred. A combination of education and experience will be considered. Formal training in Microsoft Office is essential.
Experience: 1-3 years of related experience is required in a post-secondary, not-for-profit, or similarly complex setting. Direct experience within entrepreneurial environments, previous program and/or marketing assistance are valuable assets. Experience with Cascade, Concur, Connection Point, and other USask systems is highly regarded as an asset for this position.
Skills:
Excellent interpersonal and communication skills, both written and verbal. Proven problem-solving and decision-making skills, highly organized and able to work independently on multiple projects with competing demands. Able to maintain meticulous attention to detail and ensure accuracy in work. Demonstrated proficiency of Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) Good working knowledge of social media platforms (LinkedIn, Instagram, Facebook) Ability to recognize and recommend change in program policies/procedures which result in the improved delivery of administration. Familiarity with web-based applications (Survey Monkey, Canva or Adobe Creative Suite, Mailchimp, Skipso) is an asset. Familiarity with website maintenance tasks is an asset.
