Come join us to stay true to our mission of delivering ONLY the best customer service What You Will Do We are seeking a detail-oriented, creative, and proactive HR Coordinator to join our team. The HR Coordinator will report directly to the HR Director - HR Opertaions and work closely with the onsite HR Business Partner (HR BP) to support various HR functions. This role is essential in ensuring smooth HR operations and providing excellent service to our employees. Key Responsibilities HR Administration: Maintain accurate employee records, manage HR databases, and ensure compliance with company policies and legal requirements. Employee Relations: Support the HR BP in addressing employee inquiries, resolving issues, and promoting a positive work environment. Leave of Absence Management: Administer and manage employee leave of absence requests, including medical leave, parental leave, and other types of leave. Ensure proper documentation, track leave balances, and communicate with employees and managers regarding leave status. HR Communications: Create engaging content for HR newsletters, including updates on company policies, employee achievements, upcoming events, and other relevant topics. Collaborate with the HR team to ensure timely and accurate distribution of newsletters. Employee Appreciation Events & Recognition Initiatives: Plan and execute employee appreciation events and activities to recognize and celebrate employee contributions. Coordinate logistics, communicate with employees, and ensure successful event outcomes. Culture-Building Initiatives: Develop and implement initiatives to foster a positive and inclusive workplace culture. Organize team-building activities, promote diversity and inclusion programs, and support efforts to enhance employee engagement and satisfaction. Annual Engagement Survey: Participate in the planning, administration, and analysis of the annual employee engagement survey. Collaborate with the HR team to gather feedback, identify areas for improvement, and develop action plans to enhance employee satisfaction and engagement. HR Projects: Collaborate with the HR Director and HR BP on various HR projects and initiatives to improve HR processes and enhance employee experience. Performance Management Process: Assisting with the annual performance management review process completed in the company's HRIS (Paycom and Dayforce) Compliance: Ensure compliance with labor laws, company policies, and industry regulations. Offboarding: Coordinate offboarding efforts including sending offboarding correspondence, performing exit interviews and system status changes Qualifications Bachelor's degree in Human Resources, Business Administration, or related field. 2+ years of experience in HR coordination or similar role. Knowledge and application of Canadian labor standards; Knowledge of US labor regulations an asset. Knowledge of programs such as Canva, Publicate and Bright Author is considered an asset. Working knowledge of HRIS is considered a must; (Dayforce, Paycom) Strong organizational and time management skills. Excellent interpersonal & communication skills (written & verbal) in both French and English; Proficiency in HR software and Microsoft Office Suite. Ability to handle sensitive information with confidentiality and professionalism. Knowledge of labor laws and HR best practices. Experience working in a fast-paced environment. Must be able to successfully manage multiple tasks simultaneously. Valid passport as ability and availability to travel. Le coordonnateur des ressources humaines relèvera directement du directeur des ressources humaines et travaillera en étroite collaboration avec le partenaire commercial RH (HR BP) sur place pour soutenir diverses fonctions RH. Ce rôle est essentiel pour assurer le bon fonctionnement des opérations RH et fournir un excellent service à nos employés. Responsabilités Principales Administration des RH : Maintenir des dossiers d'employés précis, gérer les bases de données RH et assurer la conformité avec les politiques de l'entreprise et les exigences légales. Relations avec les employés : Soutenir le HR BP dans le traitement des demandes des employés, la résolution des problèmes et la promotion d'un environnement de travail positif. Gestion des congés : Administrer et gérer les demandes de congés des employés, y compris les congés médicaux, les congés parentaux et autres types de congés. Assurer une documentation appropriée, suivre les soldes de congés et communiquer avec les employés et les gestionnaires concernant le statut des congés. Communications RH : Créer du contenu engageant pour les bulletins d'information RH, y compris les mises à jour sur les politiques de l'entreprise, les réalisations des employés, les événements à venir et d'autres sujets pertinents. Collaborer avec l'équipe RH pour assurer une distribution opportune et précise des bulletins. Événements d'appréciation des employés : Planifier et organiser des événements et activités d'appréciation des employés pour reconnaître et célébrer les contributions des employés. Coordonner la logistique, communiquer avec les employés et assurer le succès des événements. Initiatives de renforcement de la culture : Développer et mettre en œuvre des initiatives pour favoriser une culture de travail positive et inclusive. Organiser des activités de renforcement d'équipe, promouvoir des programmes de diversité et d'inclusion, et soutenir les efforts pour améliorer l'engagement et la satisfaction des employés. Enquête annuelle d'engagement : Participer à la planification, à l'administration et à l'analyse de l'enquête annuelle d'engagement des employés. Collaborer avec l'équipe RH pour recueillir des commentaires, identifier les domaines à améliorer et élaborer des plans d'action pour améliorer la satisfaction et l'engagement des employés. Projets RH : Collaborer avec le directeur des ressources humaines et le HR BP sur divers projets et initiatives RH pour améliorer les processus RH et améliorer l'expérience des employés. Processus de gestion de la performance : Assister au processus annuel d'évaluation de la performance complété dans le SIRH de l'entreprise (Paycom et Dayforce). Conformité : Assurer la conformité avec les lois du travail, les politiques de l'entreprise et les réglementations de l'industrie. Qualifications Baccalauréat en ressources humaines, administration des affaires ou domaine connexe. 2+ années d'expérience en coordination RH ou rôle similaire. Connaissance et application des normes du travail canadiennes ; connaissance des réglementations du travail américaines un atout. Connaissance pratique des SIRH est considérée comme indispensable ; (Dayforce, Paycom). Excellentes compétences organisationnelles et en gestion du temps. Excellentes compétences interpersonnelles et en communication (écrites et verbales) en français et en anglais. Maîtrise des logiciels RH et de la suite Microsoft Office. Capacité à gérer des informations sensibles avec confidentialité et professionnalisme. Connaissance des lois du travail et des meilleures pratiques RH. Expérience de travail dans un environnement au rythme rapide. Capacité à gérer simultanément plusieurs tâches avec succès. Passeport valide car la capacité et la disponibilité à voyager.
