Executive Assistant – Global Marketing Scotiabank is a leading bank in the Americas. Purpose The Executive Assistant is responsible for providing administrative support to the CMO, VP(s) and their respective teams. The role is accountable for managing the schedules of key executives, arranging travel, submitting expenses, and providing other support as needed. Is this role right for you? Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge. Acts as the point of contact among executives, employees, clients, and other external partners. Provides administrative support to executives by managing information flow, day‑to‑day calendar management, booking meetings, booking travel, document creation, email and Teams messaging, reception support, urgent deliveries, managing email distribution lists, and record keeping. Maintains department’s record keeping: organizing payments, verifying transactions, inputting data. Provides services and support: correspondence, document production, proofreading, database maintenance, presentation creation. Champions high‑performance environment, demonstrates Scotiabank values, creates inclusive culture. Directs day‑to‑day activities consistent with risk culture, ensuring operational risk controls, compliance, AML and conduct risk. Actively pursues effective and efficient operations of area, ensuring adequacy, adherence to and effectiveness of day‑to‑day business controls to meet operational risk, regulatory compliance risk, AML/ATF risk and conduct risk. Handles routine and some complex decisions, general supervision provided to ensure conformity to established regulations and procedures. Toronto‑based VP/CMO and International Banking VP support with some Global Marketing team correspondence. Qualifications Over 5 years of administrative experience, with preference for candidates who have supported two or more executives. Demonstrated understanding of departmental policies and procedures. Proven ability to organize effectively, prioritize tasks, and manage time efficiently. Excellent communication and interpersonal skills to support executive‑level interactions. Skilled in evaluating and resolving calendar conflicts with sound judgment. Maintains a high degree of accuracy in all administrative tasks. Exercises discretion and confidentiality in handling sensitive information. Proficient in Microsoft Outlook and Teams, with expertise in calendar management, meeting coordination, and executive communications. Working Conditions Office work environment. Limited travel. Pressure from deadlines/accuracy with minimal control over pace of work and occasional interruptions. Location Toronto, Ontario, Canada.
