This is a full time 12-month position reporting to the Office Supervisor and direction of the Staff Support Liaison, the Administrative Clerk is responsible for providing clerical and administrative support to the Staff Support Liaison, providing day-to-day support to all employees in matters related to vacancy postings, professional development, employment status changes, leaves and other various tasks.

This position requires an individual who can work both independently and as part of a team. Exceptional organizational skills with the ability to successfully prioritize a large workload with a variety of administrative duties and multi-task in a fast-paced environment with multiple interruptions, time pressures and deadlines are essential. Strong written and verbal communication skills are required. The ability to interact effectively and tactfully with the general public, applicants, employees, individuals from other departments/schools, and outside organizations is required.

Answering telephone and general inquiries regarding WSD policies and collective agreements from

Principals, school clerical staff, and the general public; takes messages and forwards calls accordingly;

Preparing written materials of a confidential nature including memos, letters, forms, files, and routine correspondence;

Coordinating meetings and maintaining appointment schedules, organizing materials for meetings and/or taking minutes, when required;

Preparing and recording internal vacancy notices, including receiving applications, producing reports and ensuring appropriate paperwork is completed;

Providing clerical support to various committees within Staff Support and Relations;

Providing back up support for other Staff Support Administrative Clerks and Receptionist;

Coordinates Pre-Retirement Seminars

Other duties as assigned.

Qualifications:

Experience in a fast-paced office environment, with a strong customer service orientation;

Knowledge of Human Resources practices and procedures is an asset;

Knowledge and experience in Winnipeg School Division procedures and systems would be considered an asset;

Proficient at an Intermediate level in Microsoft Word and Excel;

40 wpm accurate keyboarding skills;

Superior communication skills (oral and written) with all levels of employees, with an understanding and appreciation of customer requirements;

Strong technology orientation, with the ability and/or experience to utilize an HRIS system (CIMS) and other technology to create customized reporting to support business objectives;

Excellent attention to detail with the ability to follow through and deliver results;

Excellent organizational and planning skills with demonstrated ability to balance multiple priorities.

Experience working within a unionized environment.

Completion of post-secondary education in Administrative Professionals, Office Assistant and/or Business Administration strongly preferred.
