Technical Event Coordinator and AV Shop Manager Red Tree Productions is not a traditional AV company. We are a small, highly experienced audiovisual firm that specializes exclusively in small and mid‑sized conferences across Canada. For more than 15 years, we have quietly designed and delivered high‑quality conference productions for associations, nonprofits, and professional organizations, producing audio visual for approximately 60 to 75 conferences each year. We do not operate a rental shop and we are not open to the public. Instead, we focus entirely on conference production, using our own custom‑built, plug‑and‑play AV kits and a repeatable, systems‑driven approach. This allows us to deliver consistent results, reduce friction for both clients and crews, and maintain a very high production standard with a lean, experienced team. While our foundations are well established, we are very much in a growth phase. We are expanding into new markets, formalizing systems, and scaling how we operate, all while maintaining the hands‑on care and attention that long‑term clients value. Our approach challenges many conventions of the legacy AV industry, and we are intentional about doing things differently and better. This role is ideal for someone who thrives on variety and responsibility. You will not be on‑site, but you will play a central role in the business. Role Overview This is a brand new role at Red Tree Productions. It is a hybrid position combining technical event coordination with AV shop management, with a real opportunity to help define the role, build systems, and improve how we operate as the company grows. A core responsibility of this role is booking crews and managing the technician roster for events. You will ensure the right people are scheduled, briefed, and prepared for each conference. You will also prepare complete technical coordination packages for our onsite Lead Technicians and run our AV shop in Guelph. This includes prepping and testing gear, maintaining standardized conference kits, packing trucks, and ensuring everything leaving the shop is ready for deployment. At times, you may also support conferences on site, including travel during slower periods. Candidates must live in or near the Guelph, Ontario region. What You’ll Do Technical Event Coordination (Primary Focus) Prepare technical coordination packages for onsite Lead Technicians Gather and organize key information from sales, clients and venues Compile floor plans, schedules, room details, and agendas Book technicians and manage the event crew roster Ensure crews are scheduled appropriately and briefed ahead of events Support conferences on site when required during slower periods AV Shop Management (Secondary Focus) Run the day to day operation of our AV shop Prep and test gear before it leaves the shop Maintain standardized conference AV kits Pack trucks and ensure gear is ready for deployment What We’re Looking For Technical Event Coordination Skills Five or more years experience in conference or live event AV in a technical coordination role Experience acting as a Technical Director or Lead Technician on multi‑room conferences Strong understanding of conference audio‑visual workflows including plenary and breakout rooms Experience booking crews and managing technician schedules Experience using Rentman or similar AV workflow and inventory software Ability to turn schedules and room layouts into clear execution plans Comfortable preparing technical briefs that crews can use to execute independently Confident leading onsite crews and making real‑time technical decisions Clear customer‑centric communicator with a calm, confident, professional approach Growth‑minded: you like moving fast, figuring things out and making an impact AV Shop Skills Comfortable working in an AV shop environment Able to pack trucks and understand practical gear flow Comfortable driving a 3‑ton truck with a standard G‑class driver’s license Able to lift and carry at least 50 lbs High level of autonomy and trust Opportunity to help design the role and build systems from the ground up Real responsibility and accountability Travel opportunities across Canada during select events Tight‑knit, experienced team Busy conference seasons Flexible time off during slower periods A unique AV environment built around standardized kits that make work smoother and more enjoyable Full‑time role Hybrid position based out of our Guelph shop with the ability to work from home when workload permits Occasional early mornings, evenings, weekends, and travel depending on conference schedules Competitive salary range $70,000 to $85,000 based on experience Seniority Level Mid‑Senior level Employment Type Full‑time Job Function Management and Manufacturing Events Services Referrals increase your chances of interviewing at Red Tree Productions - Audio Visual Services by 2x #J-18808-Ljbffr
