About the Position The Leasing & Event Sales Coordinator supports the MaRS Centre and MaRS Waterfront leasing and event venue sales teams. This includes timely execution of leasing and contracting activities, such as preparing documentation and reporting on leasing and event venue activity. The position also manages inquiries and the prospect pipeline for both locations. Key Responsibilities Coordinate the leasing and event sales inquiry pipeline. Work with the Leasing Manager and Event Venue Sales Manager to triage inquiries, conduct introductory calls and provide tours and site visits for leasing and event venue sales prospects. Prepare event order estimates as needed. Coordinate the flow of all lease‑related documents up to execution, prepare lease supporting forms for management approval and supporting quarterly and annual reporting. Distribute as required and set up in electronic and hard file. Prepare monthly Stacking Plan and ensure it is current at all times, distributing as required. Maintain lease‑related documentation templates, coordinate updates with the Leasing Manager. Prepare lease documentation, including Offers to Lease, Leases, Amendments, and Licenses. Monitor critical dates such as expiry dates and options to renew or terminate. Liaise with the Tenant Services team on the onboarding of new tenants, supporting a smooth transition from space prospect to MaRS Centre and MaRS Waterfront ecosystem member. Ensure tenant and suite information is up to date in relevant databases and electronic systems, including SpaceDatabase. Notify the Tenant Services team of any suite changes affecting Angus Anywhere. Coordinate marketing material requirements, including MaRS website leasing and event venue information updates. Other duties as assigned. Requirements Graduate of a related post‑secondary program or equivalent work experience. 3 to 5 years of relevant property/lease administration experience. Working understanding of commercial contract management. Strong working knowledge of Windows Office Suite (Word, Excel, PowerPoint, Project Planner, Outlook). Highly developed administrative skills. Well‑developed internet, database, and email skills. Exceptional interpersonal and communication skills — both verbal and written. Able to maintain a balanced perspective under stress. Mature mindset with a high level of personal integrity. Highly developed organizational skills, able to multi‑task in a fast‑paced, high‑energy, evolving culture and environment. Able to work independently and respond well to clear direction. Able to anticipate needs and act decisively and proactively. Presents a highly professional image at all times — internally and externally. Detail‑oriented and resourceful. Flexible and adaptable. Nice to Haves Experience with MRI, Momentus, and Salesforce software. Possesses a healthy sense of humour in how to approach high‑pressure situations.
