Data & Safety Coordinator Charlottetown, PEI Full‑time $55,000.00‑$65,000.00 per year Location: Halifax, NS / Charlottetown, PE / Saint John, NB / Caribou, NS Reports to: Director, Safety & SecurityPosition Type: Full‑time Opportunity We are seeking a Data & Safety Coordinator to play a critical role in supporting safety compliance, continuous improvement, and data‑informed decision making across our vessel and terminal operations. This position works closely with the Safety & Security Leadership team to coordinate safety reporting, corrective action processes, audits, and digital safety systems. The ideal candidate brings a strong blend of data management, analytics, and administrative coordination, along with a passion for fostering a just safety culture. This role requires professionalism, discretion, and the ability to communicate effectively with stakeholders at all levels of the organization. Key Responsibilities Safety & Security Systems Receive, review, categorize, and process safety and security event reports Manage the full lifecycle of event reports, including corrective actions and stakeholder communications Maintain and transition the event reporting database from Excel to automated digital solutions Monitor timelines, target dates, and follow up to ensure deadlines are met Support process owners in the use of reporting systems Assist with safety KPIs, analytics, and record management (e.g., SharePoint libraries) Management System & Audit Support Support the effectiveness of safety and security management systems Assist process owners with documentation related to corrective/preventive actions and audit findings Coordinate audit programs, including scheduling, recordkeeping, and follow‑up actions Support audit teams during vessel and terminal audits and site visits Assist with audit reporting and tracking findings to closure Provide support to environmental reporting and audit activities Data Management, Workflows & Analytics Support the implementation and management of digital safety platforms Assist with the transition to automated event reporting and safety observation systems Build and maintain SharePoint lists, Excel workbooks, databases, and M365 workflows (e.g., Power Automate) Manage the Safety department’s SharePoint site and permissions Support M365 tools including Teams, groups, and distribution lists Assist with data capture, KPI analysis, and Power BI dashboard development Support other departments (e.g., Emergency Planning & Response, People & Culture) with safety‑related data and workflows Assist with configuration, testing, rollout, and user support for safety‑related digital tools General Administrative Support Support safety initiatives such as audits, learning fairs, exercises, and training materials Schedule meetings, prepare agendas, record minutes, and maintain action and decision logs Assist with project schedules, roadmaps, progress reports, and improvement plans Monitor safety inboxes and calendars Track and support completion of safety action plans Liaise with internal and external stakeholders, including contractors Coordinate workshops and maintain accurate project trackers, logs, and documentation Qualities & Experience High‑level proficiency in Microsoft 365, including Excel, SharePoint, and Teams Experience with databases, data management, and data analysis (e.g., SQL, Python, R) Experience with data visualization and reporting tools (e.g., Power BI, Tableau, Looker) Strong organizational, communication, and coordination skills Ability to manage sensitive information with confidentiality and discretion Experience tracking issues, risks, actions, and changes in structured environments Understanding of data governance, privacy, and information safeguarding Assets Experience in digital transformation, metadata management, or enterprise application administration Background in incident investigation or root cause analysis Post‑secondary education or certification in health, safety, security, environment, or a related field Post‑secondary degree or diploma in Computer Science, Engineering, Business, or an IT‑related discipline Working Conditions Administrative, data‑ and platform‑focused role (not a field safety position) Based in a normal office environment at one of the listed locations \Occasional travel to vessels, terminals, and other company sites, including periodic overnight stays (pre‑approved by management) Occasional work outside regular business hours to address urgent system or platform issues Why Join Us?
