Reporting to the VP, Supply Chain, the Manager, Fleet & Facilities is accountable for establishing and overseeing operational processes and guidelines for all fleet and facility projects and maintenance. Working closely with branch managers, this new role supports the selection and operational maintenance, inspection and improvements for all company owned and leased buildings and fleet inventory.
Responsibilities
Ensure all preventative maintenance, repairs and upkeep activities are completed and in compliance with provincial, health & safety and regulatory codes for fleet & facilities
Source, schedule, coordinate and oversee building repair and maintenance services
Work directly with contractors to administer property contracts (e.g. waste & recycling, landscaping & snow removal, cleaning, etc.); Oversee contracts for custodial and general site maintenance issues
Lead the selection and negotiation of property maintenance vendors and suppliers (e.g. waste & recycling, roofing, racking, etc.)
Manage all tenant property issues and concerns as they arise and support the branch network in corrective actions and resolution
Manage building security, ensuring proper safeguards are in place and maintained by managers
Lead and manage all building openings and moves, acting as the main point of contact for contractors, supplies, vendors, etc.
Assist in the development and preparation, coordination, and management of the annual operational and capital budgets for fleet and facilities maintenance programs and requirements
Support and manage any offsite 3PL storage requirements and contracts working closely with Finance on insurance requirements
Lead facility inspection and risk assessments, recommending corrective action plans as required
Establish fleet inventory, maintenance requirements and replacement programs for all company owned equipment. Ensure Preventative maintenance programs are in place and conduct fleet evaluations to ensure maintenance standards are met, preventative maintenance programs are in place and all safety requirements in place
Ensures that all vehicles, facilities, equipment and processes are compliant with all regulations and permitting requirements
Participate in the assessment of the current and future needs for fleet and facilities while managing costs and delivering operating efficiencies.
Provide support to the Finance Department in asset control and tracking of facilities assets, fleet assets, vehicle parts and equipment
Experience, Qualifications & Attributes
10+ years experience; minimum 5 years in a leadership or management capacity
Fleet and facility management experience, including experience overseeing multiple locations across different provinces
Post-secondary degree or diploma in facilities management, engineering, business or equivalent, preferably with PMP or Property Management Certification (CPM, MPM, CCIM, or equivalent)
Demonstrated ability to manage multiple, competing and urgent priorities
Strong relationship builder with outstanding written and verbal communication skills
Excellent technical skills, including MS Office and project management software
Valid driver's license and access to a personal vehicle to travel between locations
Ability to travel frequently (at times exceeding 50%) and be available outside of regular business hours for emergencies
