Accounts Payable Administrator

The Accounts Payable Administrator plays a pivotal role within the payables function of the Maple Reinders Group and its affiliated companies. With a dedicated focus on delivering timely and precise job cost reporting, maintaining open lines of communication with Project Management personnel.

The Accounts Payable Administrator assumes a wide range of responsibilities including, but not limited to:

  • Accurately process and validate invoices by matching them with Purchase Orders (POs) and relevant supporting documentation.
  • Initiate and monitor invoice approval workflows via the organisation's digital portal, ensuring timely authorisation by Division or Project Managers.
  • Conduct thorough invoice reviews to confirm accuracy of pricing, quantities, and services rendered.
  • Apply eligible discounts to maximise cost efficiency and savings.
  • Respond professionally to Accounts Payable (A/P) phone and email inquiries, providing clear and timely information to both internal and external stakeholders.
  • Perform regular supplier statement reconciliations, proactively identifying and resolving outstanding items or discrepancies in collaboration with vendors.
  • Carry out additional assigned duties with a proactive and results-driven attitude. 

Qualifications: 

  • Possess a post-secondary education in Accounting, Finance, or Business, providing a solid foundation in financial principles and practices.
  • Accumulated two years of relevant experience in an Accounts Payable Clerk role, demonstrating a solid understanding of financial processes and procedures.
  • Proficient in utilizing Microsoft Office suite and Windows-based computer applications, including but not limited to Word, Excel, and Outlook, enabling adequate documentation and communication.
  • Ability to use/learn industry-specific software programs such as Timberline.
