Job Overview

We are seeking a detail-oriented and organized Payroll/Accounts Payable/Administrative Assistant to support our office operations. This position is responsible for providing payroll, accounts payable and administrative support to the Accounting and Administration department. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency with various office software. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office functioning.

Responsibilities

Administrative:

  • Greet and direct clients/customers.
  • Switchboard operation – answer and direct calls.
  • Order office supplies.
  • Coordination of general company email account.
  • Prepare various forms and documents
  • Responsible for ordering promotional items
  • Supporting Social Committee with company events

Accounts Payable Support:

  • Manage Accounts Payable email account
  • Match invoices to purchase order receipts and investigate variances.
  • Post invoices to ERP system, ensuring timeliness for AP payment processing deadlines or month-end/year-end close out.

Payroll Support:

  • Review and correct shop time daily.
  • Maintain vacation and time off records.
  • Enter staff hours, and other earnings or deductions into payroll system for processing.
  • Maintain attendance records.

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with QuickBooks or similar bookkeeping software is a plus.
  • Strong computer skills with the ability to learn new software quickly.
  • Excellent organizational skills with attention to detail
  • Effective typing speed and accuracy for data entry tasks
  • Strong proofreading abilities for correspondence and documents
  • Exceptional customer service skills with professional phone etiquette
  • Experience with clerical tasks such as filing, document management, and front desk operations

Job Types: Full-time, Permanent

Pay: $45,000.00-$50,000.00 per year
