Reporting directly to the Director of Operations, Drake Property Management is looking for a Maintenance Coordinator responsible for providing day to day administrative support the Operations, Leasing & Marketing teams. Key Accountability and Responsibilities:
· Monitor and respond to all emails and phone calls from tenants re: maintenance requests.
· Ensure resident requested service orders are completed on a timely basis and to the company standard.
· Promptly communicate with Property Manager concerning all maintenance issues at the property.
· Asses all maintenance requests upon receipt.
· Communicate with tenants to gather any additional details needed to efficiently and effectively have maintenance requests completed.
· Coordinate various maintenance functions including repairs to the following: electrical, plumbing, appliances, flooring, carpentry, HVAC, and general repairs.
· Assign appropriate vendors based on the initial assessment and follow through to completion.
· Maintain regular and timely documentation on all service calls.
· Coordinate unit access with tenants to have vendors complete scheduled service calls.
· Monitor the interior and exterior of the property and ensure that it is maintained to always provide a clean and acceptable curb appeal.
· Responsible for registering warranties and scheduling service requests for all appliances.
· Seek and develop new/existing relationships with local trades to be added to Drake's approved vendor list.
· Assess and coordinate on Capital Expenditure projects.
· Reporting to all Operations Directors for any Capital Expenditure projects.
· Reporting live daily activity with other maintenance coordinators.
· Maintaining data entry for all maintenance related items.
Operations & Management
Responsible for ensuring all property management policies, procedures, and operations are executed to our standards.
Oversee the Issuance of delivery notices such as: Notice to Enter.
Ensure compliance with all privacy rules and regulations.
Supervise Maintenance Tech(s) and Mobile Superintendents to ensure the issuance of work orders and
proper management and guidance of maintenance team members and/or service providers.
Oversee maintenance work orders, emails, and calls to ensure they are logged and attended to based on priority.
Schedule and coordinate with the appropriate vendors for any and all maintenance items, ensuring that your maintenance team is aware of on-going repairs.
Data of entry of all work orders and maintenance requests, including but not limited to pest control inquiries.
Strategic evaluation and scheduling of preventative maintenance under a variety of categories, including HVAC, pest control, and plumbing.
Upkeep of maintenance logs and data to ensure that all maintenance information is up-to-date for use on a daily basis.
Helping with vendor evaluation and vetting process.
Capital and Special Projects
Oversee the Issuance of delivery notices such as: Notice to Enter.
Ensure compliance with all privacy rules and regulations.
Schedule and coordinate with the appropriate vendors.
Data of entry of all necessary work throughout portfolio.
Strategic evaluation and scheduling of vendors to evaluate any capital and special projects as required.
Upkeep of capital and special projects logs and data to ensure that all information is up-to-date for use on a daily basis.
Helping with vendor evaluation and vetting process.
Customer Service / Tenant Relations
Professionally and courteously handle all inquiries, feedback, complaints, or concerns.
Ensure a high level of resident relations is maintained through regular contact and proactive attention to resident needs.
Foster a strong customer service culture amongst all team members.
Promote usage of Rentcafe Resident Portal technology.
Maintenance & Health and Safety.
Actively monitor deficiencies in suites and common areas and produce work orders as required.
Coordinate maintenance required as appropriate.
Maintain and ensure compliance with fire safety plans and other emergency procedures.
Other project-based assignments within the scope of the job as requested by management.
WHAT YOU BRING
Previous experience in the Property Management field is preferred, but not required.
Ability to communicate effectively, both oral and written, with tenants, team members and external vendors and suppliers.
Client first focused relationship skills.
High level of computer proficiency including exceptional Microsoft Office skills (Outlook, Word and Excel are a must).
Highly organized with the ability to multitask and work under pressure.
Excellent customer service skills and strong attention to detail.
Process oriented individual who receives satisfaction in seeing a job brought to completion.
Pro-active and dedicated team player with a positive attitude.
HOW WE WORK

This is a full-time 35-hour work week, position normally conducted during core business hours of 9:00am to 5:00pm, with the occasional need to work beyond these set hours. We are proud to offer our employees full benefit packages as well as an above market salary depending on qualification and experience.
