Overview

You'll be the glue that keeps our firm running smoothly, balancing legal support with direct executive assistance to the owners and the paralegals, coordinating daily operations, contributing to marketing and social media initiatives, and helping to shape firm culture.

Key Responsibilities

  • Legal Administration: Support client onboarding, engagement; assist with management of client files, including matter opening, organization, and closing; track deadlines; draft and format legal documents and correspondence.
  • Office Management & Executive Support: Oversee day-to-day office operations; act as the first point of contact for inbound inquiries; provide direct administrative support to the team, including calendar and scheduling consultations, greeting clients as they attend the office.
  • Client file management: opening new files as they come in and supporting the team with preparing evidence for hearings.
  • Billing & Accounting: Prepare and issue client invoices.
  • General administrative support.

Qualifications & Experience

  • 1-2 years of relevant legal administrative experience
  • Self motivated and self starter
  • Highly organized with excellent time management skills
  • Excellent command of the English language. Additional language is an asset.
  • Excellent verbal and written communication skills, with the ability to use discretion when dealing with confidential information
  • Professional, adaptable, and eager to learn in a fast-paced environment
  • Excellent customer service skills
  • Demonstrates discretion, sound judgment, and attention to detail
  • Ability to critically think and solve problems
  • Tech-savvy, ideally with proficiency in Microsoft Office, Google Apps; willingness to learn new tools and platforms
  • Professional, responsive, friendly, and able to build productive relationships

Pay: $40,000.00-$45,000.00 per year
