We are looking for a confident and detail-oriented Dental Office Administrator with a high level of accuracy, efficiency, and exceptional professionalism. Key Responsibilities

Patient Coordination & Experience

  • Greet patients warmly and provide a seamless check-in and check-out experience.
  • Coordinate new patient onboarding, including verifying forms, updating records, and guiding patients through their first visit.
  • Maintain a 90%+ reappointment rate through proactive scheduling and personalized follow-up.

Insurance & Financial Administration

  • Prepare and submit insurance estimates and claims with accuracy.
  • Communicate insurance coverage to patients.
  • Ensure precise entry of payments and financial information.

Operational Excellence

  • Manage schedules efficiently to optimize provider time and enhance patient flow.
  • Troubleshoot scheduling issues and resolve patient concerns with professionalism and empathy.
  • Support digital workflows, including managing digital charts, and documentation.
  • Demonstrate strong time management and attention to detail in all administrative responsibilities.

What We're Looking For

  • Previous experience in a dental office administrative role (dental strongly preferred).
  • Strong understanding of dental terminology, insurance plans, and treatment coordination.
  • Excellent communication skills—professional, clear, and patient-focused.
  • High attention to detail, accuracy, and accountability.
  • A team player who excels in a fast-paced, multi-provider environment.
  • Proficient with dental software (Open Dental, Practice By Numbers, Max Assist, YAPI)
