Overview:

A warm, energetic, and detail-oriented House Manager / Family Assistant is needed to support a busy household with young and school-age children. The ideal candidate is a proactive multitasker who can anticipate needs, manage household operations, coordinate family logistics, and create a smooth daily rhythm for the family.

This is a hands-on role for someone who loves supporting a family environment and can juggle multiple priorities with discretion, positivity, and professionalism.

Key Responsibilities:

Household Management

  • Oversee daily operations of the home to ensure it is clean, organized, and well-stocked.
  • Coordinate with Personal Chef, Nanny, Housekeeper, gardeners, maintenance professionals, and other service providers.
  • Manage household inventory, shopping, and errands.
  • Maintain household manuals, vendor lists, and maintenance schedules.
  • Ensure all systems, equipment, and family vehicles are in working order.

Family & Child Support

  • Support parents in organizing school, extracurricular, and childcare logistics.
  • Communicate with schools, coaches, tutors, and caregivers as needed.
  • Assist with school forms, activity sign-ups, and scheduling.
  • Prepare for family outings, trips, and events (packing, reservations, logistics).

Calendar & Scheduling

  • Maintain and coordinate the family calendar (school events, lessons, appointments, travel).
  • Anticipate schedule conflicts and propose solutions.
  • Send reminders and manage communications related to family and household activities.

Errands & Personal Assistance

  • Run errands and handle household and personal shopping.
  • Assist with travel coordination (flights, accommodations, packing, transport).
  • Organize family events, holidays, and celebrations.
  • Handle online orders, returns, and vendor communications.
  • Provide transportation and assistance to grandparents for medical and social appointments.

Administrative & Budget Responsibilities

  • Track household expenses and liaise with Business Operations Manager to process payments and reimbursements.
  • Keep records of vendor contracts, warranties, and household documentation.
  • Support parents and grandparents with personal and family administration as needed.

Confidentiality & Professionalism

  • Maintain absolute discretion and professionalism in all matters.
  • Represent the family respectfully when interacting with schools, vendors, and service providers.

Qualifications:

  • 3+ years' experience as a House Manager, Family Assistant, or similar role.
  • Experience working in households with children.
  • Strong organizational, communication, and problem-solving skills.
  • Excellent multitasker with keen attention to detail.
  • Tech-savvy: proficient with shared calendars, spreadsheets, and communication tools.
  • Valid driver's license and reliable transportation.
  • Background check and strong references required.
