The Role

We're looking for a detail-oriented Administrative Assistant to join our team and support our operations and project management functions. This role is essential to keeping our projects running smoothly by handling data entry, administrative tasks, and procurement processes. You'll work closely with our leadership team to ensure information flows efficiently and our field teams have what they need to succeed.

Position Details

  • Compensation: $ per hour depending on experience
  • Schedule: Monday–Friday, 9:30 AM–2:30 PM
  • Start Date: Tuesday, March 10th, 2026
  • Employment Type: Hourly part-time, on site

What You'll Do

  • Data Entry & Documentation: Maintain accurate records in our project management systems, including Google Workspace, JobTread and other software platforms
  • Procurement Support: Process purchase orders, track material orders, coordinate deliveries, and maintain vendor communications
  • Administrative Tasks: Handle general office administration including filing, correspondence, scheduling, organization, and document preparation
  • Project Support: Assist with tracking project timelines, budgets, and documentation requirements
  • Vendor Coordination: Communicate with suppliers and subcontractors regarding orders, invoicing, and delivery schedules
  • Communication Support: Draft emails, prepare reports, and support internal team communications

What We're Looking For

Required:

  • Strong attention to detail and organizational skills
  • Previous experience working in an office environment
  • Proficiency with Google Workspace or Microsoft Office (Sheets, Docs, Gmail, etc.)
  • Professional fluency in English with excellent written and verbal communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Comfortable learning new software systems
  • Professional and reliable work ethic

Nice to Have:

  • Previous experience in administrative roles (construction industry experience is a bonus but not required)
  • Familiarity with project management software
  • Experience with procurement or purchasing processes
  • Experience creating social media content or marketing materials
  • Photography skills for capturing project progress and finished work
  • Experience with Canva or other graphic design tools
