Receptionist - Port Credit Retirement Residence

Position Overview:
The Receptionist is the first point of contact for residents, families, visitors, and staff. This role requires exceptional customer service skills, strong organizational abilities, and the ability to remain calm and efficient in a fast-paced, high-traffic environment. The Receptionist ensures smooth daily operations by managing front desk duties, coordinating communication, and supporting administrative needs throughout the residence.
Key Responsibilities
Front Desk & Customer Service
- Greet all residents, families, visitors, and vendors with warmth, professionalism, and courtesy.
- Answer and direct incoming calls promptly and accurately.
- Assist residents with general inquiries, appointment reminders, and service coordination.
- Maintain a welcoming, organized, and professional reception area at all times.
Administrative Support
- Manage incoming and outgoing mail, packages, and deliveries, including medication deliveries following established procedures.
- Maintain accurate logs, sign-in sheets, and required documentation in accordance with company policies and privacy regulations.
- Prepare, organize, and file documents including resident forms, reports, and records.
- Support management with administrative tasks such as data entry, scheduling, notices, and communication memos.
Safety & Security
- Monitor visitor access and ensure compliance with residence safety protocols.
- Respond calmly and efficiently to emergencies by following established policies and notifying appropriate personnel.
- Participate in emergency drills as required and assist with communication during incidents.
Resident Support & Communication
- Serve as a key communication link between residents, families, staff, and management.
- Notify residents of important updates, deliveries, appointments, and messages.
- Support coordination of transportation, appointments, and community activities as assigned.
- Speak Fluent English
Team Support
- Collaborate with all departments—nursing, dining, maintenance, recreation, and management—to support smooth operations.
- Assist with special events, tours, and family information sessions when required.
- Provide backup support to administrative and managerial staff during peak periods.
Qualifications
- Experience in a retirement home, hospitality, or high-volume customer service environment preferred.
- Strong interpersonal and communication skills, both verbal and written.
- Exceptional multitasking abilities and comfort working in a busy, fast-paced setting.
- Proficient with computers, telephone systems, and office equipment.
- Professional, friendly, patient, and able to handle sensitive situations with discretion.
- Understanding of seniors' needs, customer service standards, and confidentiality requirements.
- Must pass a satisfactory vulnerable background check
