Job Summary:
The Billing & Administration Coordinator is responsible for accurate, timely billing across Field Services customer accounts and Managed Service recurring contracts, including maintenance, sales fulfillment, and professional services. This role supports accounting functions, identifies and resolves billing discrepancies, and serves as a primary point of contact for customer billing inquiries. The Coordinator plays a key role in month-end close activities, documentation management, and continuous process improvement related to billing and administrative workflows.
Key Responsibilities:
- Prepare and process Field Services and IT billing, including recurring maintenance contracts, fulfillment sales, and professional services.
- Ensure billing accuracy and timeliness through detailed data entry, reconciliation, and review.
- Proactively support month-end close activities to meet financial reporting deadlines.
- Monitor outstanding billings and assist with collections follow-up.
- Act as the primary point of contact for customer billing inquiries, disputes, and resolutions.
- Create, update, and maintain customer maintenance contracts within internal systems.
- Prepare and process third-party rebill invoices.
- Maintain organized, accurate, and up-to-date billing documentation, records, and reports.
- Identify inefficiencies and recommend process improvements related to billing, documentation, and record-keeping.
- Gather billing and account information and prepare internal reports as required.
- Provide general administrative support related to billing documentation and record management.
Qualifications:
- Bachelor's degree or post-secondary diploma in Business, Management, Accounting, or a related field, or equivalent practical experience.
- Minimum 1 year of experience in a billing, accounting support, or administrative coordination role.
- Highly motivated with the ability to work effectively in a deadline-driven environment.
- Strong judgment and decision-making skills, including the ability to prioritize competing demands.
- Demonstrated ability to manage multiple tasks and projects simultaneously.
- Self-directed, detail-oriented, and team-focused.
- Strong critical thinking and problem-solving skills.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Excel and Word; experience with Great Plains (or similar ERP) considered an asset.
Working Conditions / Physical & Mental Requirements:
- Primarily office-based role in a professional, corporate environment.
- Standard business hours with occasional additional hours required during peak periods such as month-end, year-end, or audit cycles.
- Regular use of computers, accounting systems, and standard office equipment.
- Frequent interaction with internal stakeholders and external vendors via e-mail, phone, and virtual meetings.
- Ability to remain seated for extended periods while performing computer-based work.
- Strong attention to detail and ability to maintain accuracy while managing multiple priorities and deadlines.
- Professional judgment and discretion required when handling confidential financial information.
