The Role
The E-Commerce & Marketplace Coordinator oversees the daily operations and growth of Habitat Greater Ottawa's online retail channels, including the webstore and selected marketplace platforms (eBay, Facebook Marketplace, Kijiji, etc.).
This position is central to a high-growth stage for the online store, where the primary goal is to rapidly expand the online catalog, maintain strong inventory levels, and keep product listings organized, consistent, and easy for customers to navigate.
The coordinator works closely with staff at all three ReStore locations, providing direction on listing standards, catalog organization, and workflow efficiency. The role regularly visits each location to support photography, listing, and inventory organization. While collaborating daily with Store Managers, this position reports directly to the Director of Social Enterprise.
Key Responsibilities
Online Store Operations
- Maintain an organized, accurate, and easy-to-navigate online catalog.
- Ensure consistent titles, tags, categories, pricing, and product data across all listings.
- Upload products and support listing activities across all three ReStore locations.
- Review listings to ensure quality and consistency.
- Monitor catalog size and maintain a steady pace of new listings to support growth.
Cross-Location Coordination & Workflow Support
- Work on-site across all three ReStores to support photography, listing, labeling, and storage.
- Partner with Store Managers to coordinate listing workflows, storage space, and inventory movement.
- Provide guidance and training to staff and volunteers involved in eCommerce tasks.
- Ensure online inventory is properly labeled and accessible for customers and staff handling orders.
Marketplace Management
- List unique, specialty, or high-value items to marketplace channels when applicable.
- Respond to customer inquiries and maintain professional communication across platforms.
- Coordinate fulfillment or pickup with staff at the relevant ReStore.
Customer Service & Order Fulfillment
- Ensure online and marketplace orders are processed efficiently and accurately.
- Communicate with customers regarding order questions, pickup scheduling, or follow-up needs.
- Coordinate removal of sold items from the floor and proper storage for pickups.
Catalog Growth & Optimization
- Drive significant expansion of the online product catalog.
- Maintain and refine organizational structures to improve customer navigation and searchability.
- Update existing listings as needed (titles, tags, images, descriptions).
- Track catalog performance and identify opportunities for improvement.
Reporting & Process Improvement
- Provide regular updates and reports to the Director of Social Enterprise.
- Identify operational challenges and recommend improvements to workflows and systems.
- Support development and maintenance of SOPs for listing and catalog management.
Safety & Compliance
- Follow all safety procedures related to inventory handling and equipment use.
- Maintain clean and hazard-free photography, storage, and listing workspaces.
- Report any safety issues or equipment concerns promptly.
Knowledge and Skills Required
- Post-secondary education in Business, Marketing, Retail Management, eCommerce, or another related field; an equivalent combination of education and experience will be considered.
- 3+ years of experience in retail operations, eCommerce, marketplace sales, or related social enterprise environments.
- Strong understanding of Shopify and online retail workflows, including product setup, tagging, collections, pricing, and order management.
- Experience working with online marketplace platforms (eBay, Facebook Marketplace, Kijiji) and knowledge of marketplace listing standards and customer communication expectations.
- Experience using retail or eCommerce analytics tools (Shopify analytics, sales reports, inventory dashboards) to support operational decisions and performance tracking.
- Strong analytical and organizational skills with the ability to implement structured systems and maintain accuracy across distributed workflows.
- Understanding of retail operations, warehousing/logistics basics, and inventory processes, preferably in a multi-location environment.
- Demonstrated business acumen with the ability to follow pricing guidelines, evaluate market comparables, and contribute to data-driven decision-making.
- Ability to organize and manage a diverse range of tasks and projects with high efficiency, accuracy, and attention to detail.
- Excellent communication skills, both oral and written, with the ability to create clear, customer-friendly product descriptions.
- Strong interpersonal skills with the ability to work collaboratively across multiple store teams and independently with minimal supervision.
- Proficiency in Microsoft Office Suite products (Excel, Word, Outlook), as well as comfort using POS systems, cloud-based tools, and mobile devices.
- Basic photography and digital media skills to support clear and accurate online listings.
- French language proficiency is considered an asset.
- Ability to maintain a flexible schedule, including some evenings and weekends, and access to a reliable vehicle for travel between store locations.
- Ability to safely lift and move items up to 40 lbs.
Working Conditions
- Full-time position, 37.5 hours per week, with evenings and weekends sometimes required.
- Regular travel between three ReStore locations, with work occurring in warehouse/backroom areas, photography stations, sales floors, and office/computer environments.
- Work requires standing, lifting, photography work, and computer-based tasks.
- Requires attention to detail, safe handling of merchandise, and consistent coordination with store teams.
Compensation
The salary band for this role is between $51,519 and $58,239 per annum based on experience. Habitat Greater Ottawa also offers a comprehensive health benefits plan, vacation, and flexible personal days.
