Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical and customer service skills, with experience in office management, data entry, and the use of various software tools. Financial awareness and spreadsheet literacy are required, as well as proficiency in all Microsoft and Google Suite applications. This role involves providing exceptional support to team members and clients. The Administrative Assistant will play a vital role in maintaining efficient office workflows and ensuring a professional environment. Past work with grants and charities is a bonus.

Duties

  • Answer and direct calls with excellent phone etiquette
  • Responding to email inquiries in a professional manner
  • Perform data entry tasks with accuracy using Microsoft Office, Google Workspace, and other relevant software
  • Manage filing systems, both electronic and paper-based, ensuring easy retrieval of documents and using standardized naming conventions
  • Assist with scheduling meetings and maintaining calendars for staff and clients
  • Support bookkeeping activities using QuickBooks/Wave or similar accounting software
  • Proofread documents for accuracy and clarity before distribution
  • Provide customer support via phone, email, or in person, ensuring high levels of customer satisfaction
  • Support administrative projects as needed to improve office efficiency

Qualifications

  • Proven experience in an administrative or clerical role, preferably within a corporate or charity environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
  • Experience with QuickBooks/Wave or bookkeeping software is a plus
  • Strong organizational skills with the ability to multitask effectively
  • Excellent written and verbal communication skills, including phone etiquette
  • Data entry skills with high accuracy and attention to detail
  • Ability to proofread documents thoroughly before submission
  • Previous experience in customer service or customer support roles is desirable
  • Knowledge of grant writing and reporting is advantageous but not required

This position offers an opportunity to be an integral part of a professional team dedicated to providing exceptional service while supporting smooth office operations. Training in person, remote options when training is complete.

Job Type: Freelance

Pay: $22.00-$28.00 per hour

Expected hours: 20 – 40 per week
