Position Overview
The Office Coordinator serves as the office ambassador, ensuring a professional, welcoming, and efficient work environment. This role supports smooth daily operations, provides administrative assistance to the leadership team, and helps foster a positive office culture. The ideal candidate is organized, proactive, and approachable, with a strong sense of ownership and service. This is a full-time on site position.
Core Responsibilities:
Office Management
- Oversee the organization, maintenance, and presentation of the office to ensure a clean, professional, and welcoming workspace.
- Coordinate with external vendors, including cleaning, maintenance, and repair services.
- Manage office supplies, snacks, and beverages to ensure consistent availability.
- Handle recycling, waste management, and general office upkeep.
- Coordinate courier and mail services, including incoming and outgoing shipments, deliveries, and package tracking.
- Welcome guests and serve as the first point of contact for office-related needs and inquiries.
Administrative Support
- Provide day-to-day administrative assistance to the leadership and executive teams.
- Schedule meetings, book rooms, and help coordinate travel logistics as needed.
- Manage and process executive team expense reports, ensuring timely and accurate submissions.
- Assist with document preparation, report formatting, and presentation materials.
- Maintain organized filing systems, contact lists, and office records.
Team & Culture Support
- Assist with planning and coordinating company-wide events, meetings, and team-building activities.
- Support onboarding and orientation of new employees, ensuring a positive introduction to the office environment.
- Foster a welcoming, inclusive, and service-oriented office culture.
- Take on ad-hoc projects and other administrative tasks as assigned.
Qualifications
- 2+ years of experience in office coordination, administration, or similar roles.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and scheduling tools.
- Experience managing executive or leadership team expense reporting preferred.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Professional, approachable, and customer-service oriented.
Job Types: Full-time, Permanent
Pay: $50,000.00 per year
