Position Overview

The Office Coordinator serves as the office ambassador, ensuring a professional, welcoming, and efficient work environment. This role supports smooth daily operations, provides administrative assistance to the leadership team, and helps foster a positive office culture. The ideal candidate is organized, proactive, and approachable, with a strong sense of ownership and service. This is a full-time on site position.

Core Responsibilities:

Office Management

  • Oversee the organization, maintenance, and presentation of the office to ensure a clean, professional, and welcoming workspace.
  • Coordinate with external vendors, including cleaning, maintenance, and repair services.
  • Manage office supplies, snacks, and beverages to ensure consistent availability.
  • Handle recycling, waste management, and general office upkeep.
  • Coordinate courier and mail services, including incoming and outgoing shipments, deliveries, and package tracking.
  • Welcome guests and serve as the first point of contact for office-related needs and inquiries.

Administrative Support

  • Provide day-to-day administrative assistance to the leadership and executive teams.
  • Schedule meetings, book rooms, and help coordinate travel logistics as needed.
  • Manage and process executive team expense reports, ensuring timely and accurate submissions.
  • Assist with document preparation, report formatting, and presentation materials.
  • Maintain organized filing systems, contact lists, and office records.

Team & Culture Support

  • Assist with planning and coordinating company-wide events, meetings, and team-building activities.
  • Support onboarding and orientation of new employees, ensuring a positive introduction to the office environment.
  • Foster a welcoming, inclusive, and service-oriented office culture.
  • Take on ad-hoc projects and other administrative tasks as assigned.

Qualifications

  • 2+ years of experience in office coordination, administration, or similar roles.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite, Google Workspace, and scheduling tools.
  • Experience managing executive or leadership team expense reporting preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Professional, approachable, and customer-service oriented.

Job Types: Full-time, Permanent
