The Director, Executive Operations is a senior leadership role responsible for enterprise-wide coordination, governance effectiveness, and organizational integration ensuring alignment between Board oversight, executive priorities, and operational execution in support of Eva's mission, values, and priorities.

This role functions as an enterprise integrator across the organization, translating and connecting strategy into execution, supporting effective governance, and ensuring coherence across departments, sites, and systems. The Director, Executive Operations operates with a high degree of trust, discretion, and enterprise-wide visibility collaborating closely with the Executive Director and senior leadership while maintaining clear accountability to organizational priorities and governance frameworks.

The role is responsible for:

  • Anchoring the Executive Office and Board governance functions ensuring effective coordination, information flow, and follow-through
  • Stewarding organizational privacy governance as the Chief Privacy Officer (CPO) of the organization
  • Driving organizational alignment across senior leadership, operations, and sites in support of enterprise priorities
  • Coordinating enterprise-level operational oversight, including facilities, safety, and administrative systems, through existing leaders
  • Leading cross-functional strategic initiatives and execution
  • Anticipating and addressing organizational risks, dependencies, and capacity pressures across the organization

The incumbent ensures the organization functions as a cohesive, aligned, and integrated enterprise, working through functional leaders while preserving clear decision-making authority with the Executive Director and Board.

Executive Office and Governance Leadership

  • Ensure effective coordination, information flow, and follow-through in alignment with the Executive Director's leadership and the Board's oversight role
  • Lead the planning, rhythm, and execution of Board and Committee processes, including agendas, materials, minutes, action tracking, and governance compliance
  • Coordinate executive-level communications, briefings, and stakeholder engagement on behalf of the Executive Director
  • Maintain governance trackers, decision logs, and enterprise risk summaries to support effective Board oversight
  • Enable effective Board–management integration by ensuring clarity of roles, escalation pathways, and accountability for Board-approved directions

Organizational Alignment, Planning and Operational Oversight

  • Enable enterprise alignment between strategy, people, systems, and sites working through senior leaders and functional portfolios
  • Translate strategic priorities into integrated organizational plans that reflect capacity, risk, and resource considerations across the enterprise
  • Coordinate organization-wide planning cycles, including annual planning, multi-year priorities, and sequencing of cross-portfolio initiatives
  • Ensure planning assumptions, timelines, and dependencies are visible, realistic, and aligned across senior leadership
  • Coordinate enterprise-level operational oversight—including facilities, safety, administrative systems, —through existing managers and leaders to ensure consistency, risk management, and alignment with organizational priorities
  • Identify gaps, bottlenecks, and misalignments across portfolios and recommend corrective actions and facilitate resolution an enterprise level

Strategic Execution and Issues Management

  • Lead and manage assigned enterprise-level projects and cross-functional strategic initiatives arising from organizational priorities
  • Translate Board and Executive Director decisions into clear plans, owners, timelines, and deliverables
  • Monitor execution across portfolios and proactively surface risks, interdependence and delays
  • Enable preparedness and coordinated response to complex or high-impact operational, governance, or reputational issues
  • Ensure initiatives remain aligned with Eva's values, equity commitments, and youth-centred approach

Executive Coordination and Organizational Communications

  • Act as a trusted thought partner and sounding board to the Executive Director
  • Prepare briefing materials, options, issues and risk analyses, and decision-ready memos
  • Support executive focus and capacity by managing escalation, sequencing, and delegation and follow-through
  • Coordinate enterprise-level internal communications on behalf of the Executive Office, ensuring clarity, consistency, and alignment across teams and sites

Privacy, Risk and Organizational Stewardship

  • Serve as Chief Privacy Officer, stewarding organizational privacy governance, compliance frameworks, and coordinated incident response in collaboration with functional leaders
  • Provide advice to the Executive Director on privacy, governance, and enterprise risk considerations arising from organizational operations and cross-functional activities
  • Coordinate privacy-related policies, protocols, and awareness across the organization to ensure alignment with legislative and regulatory requirements

Operational Oversight of Facilities Department

  • Oversee facilities operating and capital budgets, including budget development, monitoring, forecasting, and variance analysis, ensuring alignment with approved organizational plans and funding requirements.
  • Review and manage facilities-related reports, dashboards, and issue summaries to support executive decision-making, risk management, and organizational planning.
  • Act as the primary executive coordination point for facilities-related relationships with external stakeholders, including municipal and regulatory bodies (e.g., City departments), vendors, and service providers.
  • Ensure agreements, permits, inspections, and compliance requirements are tracked, addressed, and escalated as required.
  • Support resolution of facilities-related issues involving external stakeholders by facilitating documentation, approvals, and executive or Board decisions when required.
  • Act as a central coordination point between the Facilities team, senior leadership, and the Executive Director to ensure alignment with organizational priorities, policies and approved plans.
  • Provide oversight of day-to-day operational processes related to facilities staff, including time and attendance tracking, scheduling coordination, and reporting accuracy.
  • Ensure facilities-related payroll inputs, approvals, and documentation are accurate, complete, and submitted in accordance with organizational policies, timelines, and collective agreement requirements.
  • Coordinate with People and Culture and Finance to resolve discrepancies, clarify entitlements, staffing utilization to identify financial, operational, or compliance risks and recommend corrective actions.

QUALIFICATIONS

  • University degree in Public Administration, Business Administration, Management, Governance, or a related field; or an equivalent combination of education and senior-level experience.
  • Formal training or certification in governance, risk management, project management, or organizational leadership.
  • Certified Information Privacy Professional (CIPP) and Certified Information Privacy Manager (CIPM) is required
  • 7–10 years of progressively senior experience in organizational leadership, executive operations, strategy, or enterprise coordination
  • Demonstrated ability to operate at an enterprise level, aligning strategy, operations, governance, and organizational capacity across portfolios and sites
  • Strong understanding of Board–management roles, governance accountability, and executive decision-making processes
  • Strong organizational insight and systems thinking and organizational design orientation with the ability to anticipate issues and support effective sequencing and prioritization
  • Proven judgment, discretion, and emotional intelligence with the ability to navigate ambiguity and manage sensitive or confidential matters
  • Ability to influence, convene, and align senior leaders and stakeholders through credibility, clarity, and relationship-building rather than positional authority
  • Exceptional written and verbal communication skills, including the ability to synthesize complex information into clear, decision-ready materials for executive and Board audiences
  • Demonstrated commitment to equity, inclusion, and trauma-informed practice and youth center approaches
  • Demonstrated experience working closely with senior executives and Boards including exposure to governance processes, decision cycles, and accountability framework
  • Experience operating in multi-site, multi-portfolio, or matrixed organizations, with an understanding of how strategy, operations, and capacity intersect
  • Experience in complex, multi-site, or mission-driven organizations preferred
  • Minimum of five (5) years' experience cultivating and leading management staff in a unionized environment
  • Certification in First Aid/CRP and Toronto Shelter Standard (TSS)
  • Satisfactory Vulnerable Sector Checks (PVSC)
  • G driver's license with clean driving abstract
  • Strong verbal, written and facilitation skills
  • High level of computer literacy
