We are looking for an experienced Executive Administrative Assistant to the National Executive Director & Chief Negotiator who will be a trusted partner in our fast-paced, mission-driven environment. In this role, you won't just manage calendars and logistics; you will help keep the leadership office moving forward and ensure performers' voices are heard.

What You Will Be Known For:

Strategic partnership
– Acting as the National Executive Director & Chief Negotiator's right hand, you will help balance priorities, navigate sensitive and evolving situations, and keep leadership aligned even when operating in the grey.

Administrative excellence –
You will manage a complex and fast-moving executive calendar, ensuring meetings, priorities, and commitments stay aligned in an environment where schedules can shift quickly. You stay one step ahead to protect focus time, anticipate conflicts, and bring consistency and clarity to a constantly evolving landscape.

You will also manage frequent executive travel, coordinating multi–time-zone itineraries, international trips, and tight turnaround schedules. You handle last-minute changes with calm confidence, adjust plans in real time, and ensure the NED is prepared and supported before, during, and after each trip.

In addition, you will prepare documents, presentations, briefing notes, and high-level materials with accuracy and professionalism, ensuring leadership has the information they need when they need it.

You will support the planning and coordination of National Council meetings, keeping materials, logistics, and communications organized and on track. You will also help organize and support bargaining committees, maintaining clear and well-managed files that guide negotiations, governance work, and the daily operations of a busy executive office. You help create order, clarity, and forward momentum in a role where thoughtful organization matters.

– You will be relied on to identify issues early, think several steps ahead, and develop creative, practical solutions that support decision-making and maintain momentum.

Intuitive communication & connection. You will intuitively understand how to tailor communication to different audiences, build rapport with internal and external partners, and act as an extension of the NED's voice and values.

– Entrusted with highly sensitive matters, you will handle information with discretion, professionalism, and unwavering integrity.

Location:
This supportive role is 100% in-office based, located in Downtown Toronto (Bloor & Charles).

Compensation:
$80,000–$90,000 per year.
