Medical Clinic Assistant/Supervisor

North-West Physiotherapy Ltd is looking for a friendly, professional, and detail-oriented Medical Office Assistant / Supervisor to join our growing team in Sage Hill NW Calgary. You'll be the first point of contact for patients, playing a key role in delivering exceptional customer service and supporting daily clinic operations.

Key Responsibilities
- Greet patients and visitors warmly and create a welcoming environment
- Answer and manage phone calls, emails, and faxes with professionalism and efficiency.
- Handle new patient intake, assist with form completion, and maintain accurate records.
- Schedule and confirm appointments using Practice Perfect EMR software
- Process payments and manage billing, insurance, and funder documentation
- Track patient coverage and ensure insurance or funder approvals are up to date
- Support the Clinic Director and therapists with day to day tasks
- Keep the clinic clean, neat, and presentable throughout the day
- Assist therapists with various tasks as needed
- Manage clinic supplies, order inventory, and report maintenance or repairs
- Perform other duties as assigned based on the needs of the clinic
Qualifications & Skills
- Prior experience in a physiotherapy, medical, or wellness clinic required.
- Knowledge of Practice Perfect EMR software is required.
- Exceptional communication skills in English (spoken and written)
- Multilingual abilities in Punjabi, Hindi, Cantonese, or Mandarin are a strong asset
- Strong organizational skills with attention to detail
- Ability to prioritize and multitask in a fast-paced environment
- Comfortable working with minimal supervision
- Positive, team-first attitude with willingness to help wherever needed
- Proficiency in data entry and Microsoft Office tools
- Flexibility with work hours, including evenings and weekends, is essential
- Reliable transportation to and from the clinic is preferred
- Must be legally eligible to work in Canada

Monday–Friday 9:00 AM – 8:00 PM
Saturday 9:00 AM – 4:00 PM
Sunday 9:00 AM – 4:00 PM
