About the Role

Rhino Property Management is a leading property management company specializing in residential and commercial properties. We are currently seeking an organized and motivated Office Administrator to join our team and support our daily operations.

The Office Administrator will play a vital role in ensuring the smooth and efficient operation of our office. This position is responsible for managing day-to-day administrative tasks, supporting property management activities, and providing excellent customer service to tenants, owners and vendors.

Requirements

  • Proven experience as an office administrator, administrative assistant, or similar role (property management experience is a plus).
  • Strong organizational and multitasking skills, with attention to detail.
  • Strong written and verbal communication skills; minimum typing speed of 60wpm required.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Publisher), and property management software (Yardi) is a plus.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Positive attitude, customer service-oriented, and professional demeanor.

Key Responsibilities

  • Serve as the first point of contact for clients, tenants, and vendors, handling inquiries via phone, email, and in-person.
  • Maintain and organize office files, records, and documentation, ensuring all information is accurate and up to date.
  • Assist property managers with administrative tasks such as lease agreements, maintenance requests, and tenant communications.
  • Coordinate and schedule inspections and maintenance appointments.
  • Manage office supplies, equipment, and inventory, ensuring the office runs smoothly.
  • Prepare reports, invoices, and other documents as needed.
  • Support the accounting team with billing, rent collection, and payment processing.
  • Assist with marketing efforts, including updating property listings and coordinating online and print advertising.
  • Maintain confidentiality of sensitive information and ensure compliance with company policies and procedures.
