We're growing quickly and are looking for an 
Operations Administrator
 to help streamline internal processes, support the leadership team, and keep daily operations running efficiently. This role will be a shared resource across departments, supporting finance, client services, and team operations.

Full Time or Casual

We're looking for an experienced administrator to join our team and play a key role in supporting day-to-day operations. This position can be structured as either a full-time role or a casual role (approximately three days per week) for the right candidate who brings strong experience and prefers a flexible schedule.

Key Responsibilities

  • Financial Administration
  • Prepare and manage client invoicing and receivables.
  • Support accounts payable and ensure timely vendor payments.
  • Client and Business Operations
  • Draft, organize, and track client service agreements.
  • Coordinate client gifting and campaign-related logistics.
  • Team and Executive Support
  • Manage calendars, travel arrangements, and scheduling for leadership team members.
  • Coordinate team engagement initiatives

Qualifications

  • 3+ years of administrative or operations experience, preferably in a marketing, agency, or SaaS environment.
  • Strong organizational and communication skills with a proactive, detail-oriented approach.
  • Experience using 
    CRM systems
     and 
    financial tools
     (e.g., QuickBooks, Xero, or similar).
  • Understanding of 
    B2B client management
     workflows.
  • Proficiency in Google Workspace, Microsoft Office, and project management tools (e.g. ClickUp).
  • Familiarity with AI productivity tools is considered an asset.
