Job Summary

We are seeking a highly organized and detail-oriented Part-Time Administrative Assistant to coordinate and execute core administrative tasks. This role focuses on delivering high-quality administrative assistance, managing multiple priorities, and maintaining professionalism and confidentiality at all times. The successful candidate will help ensure smooth day-to-day operations and contribute to internal engagement initiatives across the organization.

Hours of work: Part-time (Tuesday-Thursday 8:00AM-4:30PM) – In Office

Duties & Responsibilities

  • Provide administrative and operational support such as scheduling meetings, managing calendars, and organizing documents and resources
  • Prepare agendas, documents, and handle logistics for meetings
  • Coordinate travel bookings and itineraries for corporate travel requirements
  • Prepare and submit expense reports and credit card reconciliations for corporate expenses
  • Administer company policies and procedures, such as travel and gift card programs
  • Oversee the Company-Branded Items Program to support customer and employee engagement
  • Assist the commercial team with complex travel logistics
  • Lead the Employee Engagement Committee and organize internal events
  • Handle confidential documents and communications with discretion
  • Create presentations and reports using Microsoft 365 tools
  • Provide general administrative support including mailing, sorting, filing, and preparing sales presentations
  • Additional responsibilities may be assigned as needed

Qualifications & Educational Requirements

  • 1–3 years of experience providing administrative support in a professional setting
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft 365, especially PowerPoint, Outlook, Teams, and Word
  • Ability to work independently and manage multiple tasks
  • Adaptable and proactive with a solution-oriented mindset
