Position: AR/AP Specialist

Reports To: Operations Controller

Duties and Responsibilities:

Accounts Payable

  • Review, obtain approvals, process, and post vendor invoices;
  • Process expense reports for employees and drivers;
  • Review the AP subledger to assess individual vendor balances to ensure that they are current, unapplied payments, unused credits, and write off immaterial amounts;
  • Update vendor information including banking as required;
  • Responsible for the email address; respond to vendor inquiries, issues, and other communication;
  • Process vendor credit applications;
  • Generate reports for semi-monthly payment runs;
  • Monthly corporate credit card statement processing;
  • Vendor documents filing;

Accounts Receivable

  • Generate and issue monthly storage invoices;
  • Generate and issue daily customer invoices with a 48-hour turnaround;
  • Email invoices to customers or upload to customer payment portals;
  • Daily data integration from operations to accounting systems;
  • Manually apply payments where applicable;
  • Process customer credit card payments;
  • Review the AR subledger to assess individual customer balances to ensure that they are current, unapplied payments, unused credits, and write off immaterial amounts;
  • Weekly monitoring of Open orders for those that need to be closed.
  • Responsible for the and email addresses; respond to internal teams, customers, issues and other communication;
  • Customer documents filing;

Other

  • Quarterly review of accounting process documentation and update when necessary;
  • Assist with annual audit/review;
  • Additional duties as assigned;

Qualifications

  • College or University education in Accounting, Finance, or related field;
  • 2+ years of experience in a full-cycle AP and/or AR role;
  • Strong verbal and written communication skills, French B2 Level a strong asset;
  • High attention to detail, strong knowledge of GL account categories for coding;
  • Multitasker and ability to manage large volumes and strict deadlines;
  • Microsoft Dynamics GP experience preferred

Job Type: Full-time
