Your Role
The Sport Event Hosting and Reservations Supervisor is primarily responsible for enhancing relationships with all Sport User Groups through heightened quality, performance, and service for the Regional Recreation Corporation of Wood Buffalo (RRC). Servicing both internal departments and external users, this position will do so with a heavy emphasis on prioritization, organization, and fulfillment in all aspects of sport facility bookings, and customer sales. The Sport Event Hosting & Reservations Supervisor will play a key role in creating and developing relationships with sport user groups, assisting with planning & coordinating events for sport user groups & clients. The successful candidate is expected to working with groups on potential local, provincial, and national hosting opportunities.

Your Impact

  • Ensure customer experience is always kept at an exceptional level, while promoting the organizations Mission, Vision, and Values. Working with sport user groups and facility User's to anticipate needs and expectations.
  • Liaise with multiple user groups around potential events both municipal, provincial, and national. Focusing on supporting groups on potential bids and committees.
  • Liaise with multiple sport user groups on their needs for continuing to grow their organizations and hosting abilities. Focusing on how the RRC can be a feeder system too help align sport user groups to be self-sufficient within their mandate while growing their membership
  • Ensures all external and internal customer issues are dealt with in an efficient and accurate manner; inclusive of all sport user groups and facility clients, while developing solutions for the public, clients, & users. This role is responsible for suggesting methods to improve area operations, efficiency, and service to both internal and external members & guests, while evaluating processes and procedures.
  • Create, maintain and strengthen relationships with regional and national sport and event rights holders and organizations.
  • Provide statistical, performance feedback and coaching on a regular basis to each team member.
  • Evaluate and monitor activities, events and projects using performance indicators (KPI's)
  • Assist sport user groups and clients with creating proposals or bid packages showcasing the advantages of hosting events within the RRC Facilities and Fort McMurray Region.
  • Ensure employees have appropriate training and other resources to perform their jobs.
  • Respond to and resolve employee relations issues expressed by team members; create and maintain high quality work environment so team members are motivated to perform at their highest level.
  • Liaise with other facilities and users around allocation of sport amenities, following proper processes/procedures. Provide feedback around allocation policy with recommendations from other facilities affected
  • Work with the Sport & Recreation Department on processes/procedures for facility & sport amenity allocations/bookings. Work directly with the Sport & Culture Supervisor scheduling staff & maintaining clear communication for sport user groups and clients.
  • Develop positive relations, cyclical meetings, and regular check-ins with sport user groups and key clients.
  • All other duties as assigned

Your Accomplishments

  • Post-Secondary Diploma or Degree in Business or Recreation Management, or equivalent
  • Intermediate First Aid/CPR/AED Certification or equivalent (including CPR C) is an asset.
  • Minimum three (3) years related customer service experience and training, or equivalent combination of training and experience.
  • Minimum two (2) years in a Supervisory position.
  • Minimum two (2) years of experience in an organized sport environment, such as sport administration, event hosting, tournament coordination, or facility operations, with demonstrated understanding of sport user group needs is an asset.
  • Experience with booking software, point of sale software, would be an asset.
  • Knowledge of sports and entertainment industries
  • Excellent personal motivation with a proven ability to build and work collaboratively in a strong team concept environment, and independently.
  • Exceptional leadership skills, ability to coach, train and guide staff.
  • Ability to work under pressure while prioritizing and handling multiple projects at a time.
  • The ability to think quickly, respond to service recoveries and concerns in a timely, and creative manner.
  • Tact and diplomacy in dealing with both members, guests, and employees.
  • Excellent verbal and written communication skills with the ability to communicate effectively to a variety of audiences.
  • Ability to develop and foster partnerships with external clients and users.
  • Demonstrate established knowledge of tournament organizers, event rights holders, sport and entertainment associations, and others
  • Possess strong coordination, organization and time management skills and experience in risk management.
  • Ability to coordinate the activities of staff to complete assigned tasks.
  • Strong computer skills with proficiency in Word, Excel, Outlook, and PowerPoint.
  • Ability to engage in continuous learning and on the job training.

Working Conditions

  • This position requires full time work and a flexible schedule including statutory holidays, early morning, late night, and weekend work.
  • This position involves sedentary, administrative work in an office environment that position requires sitting or standing at a desk for an extended period of time, working for extended periods on a computer, talking on the telephone, standing, walking, kneeling, stooping/bending, lifting, pushing, pulling, pinching, gripping and repetitive motion.
  • This position demands frequent use of sensory activities such as talking, seeing, hearing, depth perception and color vision.
  • This position includes heavy lifting of supplies and equipment up to 50 lbs.
  • Constant, positive interaction with employees, supervisors, patrons, and the public is required.
  • This position involves periods of high mental and/or emotional stress.
