Job Summary

We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. Your proactive approach and excellent organizational skills will support smooth office operations, enhance customer service experiences, and contribute to the overall success of our organization. Responsibilities

  • Greet visitors warmly and professionally, providing exceptional customer service at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members with courteous phone etiquette
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Schedule appointments, manage calendars
  • Assist with office management duties such as supply inventory, mail distribution, and maintaining cleanliness of common areas
  • Support bookkeeping activities including basic QuickBooks data entry and tracking expenses
  • Provide administrative support including typing correspondence, preparing reports, and supporting special projects as needed

Qualifications

  • Proven office experience with strong clerical skills and familiarity with front desk operations
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Strong computer literacy including data entry, document proofreading, and general office software use
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Bilingual abilities are a plus for communicating with diverse clients or team members
  • Experience with medical or dental receptionist duties, calendar management, or bookkeeping is advantageous but not required
