Admin/Office Manager

About Us:
We are a luxury boutique cosmetics store committed to exceptional customer experiences and operational excellence. We are seeking organized, proactive Admin/Office Managers to join our teams in Montreal and Toronto to support day-to-day operations and ensure smooth running across store locations.
Key Responsibilities:
- Daily review and management of emails
- Deliver excellent customer service by phone and email
- Maintain communication with malls and store managers
- Place inventory and product orders for all locations
- Process payroll for employees accurately
- Manage ongoing administrative tasks with store management
- Support accounting activities including QuickBooks use
- Prepare store envelopes and documentation
- Coordinate with logistics teams
- Oversee product manufacturing and production coordination
- Manage purchasing from suppliers
- Oversee inventory management
- Utilize computer software including Excel, Canva, Microsoft Office Suite
- Operate store POS system (training provided)
- Communicate with suppliers using Alibaba and manage e-commerce platforms like Shopify
- Use LinkedIn for professional communication and recruitment assistance
Desired Qualifications:
- Strong organizational skills and attention to detail
- Excellent communication and customer service abilities
- Proficiency with QuickBooks, Excel, Microsoft Office Suite
- Experience or familiarity with Shopify, POS systems, Canva, Alibaba communications
- Ability to handle payroll and basic accounting tasks
- Experience in cosmetic marketing or strong interest is a plus
- Reliable and able to work onsite full-time, five days a week
