Position Overview:

We are looking for a motivated and detail-oriented Ofce Assistant to join our team. The

ideal candidate will be a quick learner with a passion for organization, efciency, and

teamwork. This role requires someone with construction knowledge who can support

multiple departments, ensuring smooth daily operations.

Responsibilities:

Administration Support:

  • Assist the Design Lead with document preparations, organizing client selections, ling

and other assigned tasks.

  • Assist the Financial Lead with clerical tasks such as ling, receipt reconciliation, general

organizing and other assigned tasks.

  • Assist the Sales Manager with client selection, documentation, updating CoConstruct

and other assigned tasks.

  • Manage incoming phone calls and assist with outgoing communications, including

emails, phone calls, and correspondence.

  • Operate printers/scanners to create, copy and digitize documents as needed.
  • Prepare reports, presentations, and other materials as directed.
  • Support project coordination by communicating with team members and others when

necessary.

Office Management:

  • Maintain a clean, organized, and professional office environment.
  • Monitor inventory levels of office supplies and reorder as needed to ensure adequate

stock.

  • Coordinate with equipment maintenance, and service needs.
  • Organize and maintain les and records for easy access and retrieval.

Team Collaboration:

  • Work closely with office team members and execute tasks efficiently and with precision.
  • Communicate effectively to co-workers and clients.
  • Take feedback constructively and implement it to improve performance.
  • Collaborate effectively in a positive construction fashion.
  • Maintain a professional and courteous attitude while working.
  • Respect and respond to direction given by your supervisors.

Qualifications:

  • Experience in office administration or a similar role, particularly in the construction

industry.

  • Experience in technology and systems in order to handle tasks such as data entry,

document formatting, and communication.

  • Proficiency in office software, such as Microsoft Office Suite, Adobe Express, .
  • Strong communication skills, both written and verbal.
  • Basic understanding of financial and sales processes is a plus.
  • Familiarity with project management tools or construction management software is an

advantage. We utilize CoConstruct.
