The Role

As a Patient Experience Coordinator (PEC), you play a key role in shaping how patients experience our clinics every day. You are often the first voice patients hear and the first face they see, helping create a welcoming, organized, and calm environment.

This role is ideal for someone who enjoys working with people, thrives in a fast-paced setting, and takes pride in keeping things running smoothly.

What You'll Be Doing

  • Welcoming patients with warmth and professionalism
  • Managing a busy front desk and clinic flow
  • Answering phones, emails, and in-person questions
  • Booking and managing practitioner schedules
  • Handling health insurance billing and direct billing
  • Maintaining accurate patient records
  • Keeping the clinic clean, stocked, organized, and professional
  • Supporting practitioners and working closely with the admin and leadership team

  • Experience with Jane software is an asset, but not required (we'll train the right person)

By 30 days:

  • Comfortable welcoming patients and managing the front desk
  • Understanding clinic flow, values, and expectations
  • Learning Jane and internal systems with support

By 60 days:

  • Confident with scheduling, billing, and patient inquiries
  • Supporting practitioners smoothly and proactively
  • Building strong rapport with patients and team members

By 90 days:

  • Fully settled into the role
  • Taking ownership and contributing ideas
  • Recognized as a trusted, reliable part of the clinic

Compensation & Hours

  • Pay: From $21/hour
  • Hours: 32-40 hours per week (full-time)
  • Benefits: extended health, flexible scheduling, company events, on-site parking

This role requires flexibility to work a variety of shifts, including:

  • 7:30 AM – 2:30 PM
  • 2:00 PM – 9:00 PM
  • A rotation of weekends
