Job Title: Executive Assistant

Reports to: VP of Construction

Job Summary

The Executive Assistant provides high-level administrative support to the VP of Construction, ensuring the efficient operation of daily activities, schedules, communications, and priorities. This role requires strong organizational skills, exceptional attention to detail, and the ability to handle sensitive information with the highest level of confidentiality. There is a possibility of this role being performed in a remote or hybrid work environment.

Role Responsibilities

  • Manage complex calendars, including scheduling, coordinating, and prioritizing meetings across Outlook, Microsoft Teams, Planner, and other scheduling platforms.
  • Prepare, edit, and format documents, presentations, reports, and correspondence.
  • Coordinate travel arrangements, itineraries, meeting logistics, and expense reporting.
  • Track deadlines, deliverables, and action items, ensuring follow-up and completion.
  • Assist with project coordination, meeting agendas, minutes, and related documentation.
  • Maintain organized filing systems – digital and/or physical – to ensure quick retrieval of information.
  • Uphold strict confidentiality regarding all business and personnel matters.
  • Support VP of Construction with ad hoc administrative tasks as required.

Job Requirements

  • Previous experience in an administrative role; prior Executive Assistant experience strongly preferred.
  • Advanced proficiency with Microsoft 365 tools, including Outlook, Teams, Planner, and Excel.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proven ability to maintain confidentiality, professionalism, and exercise sound judgment.
  • Comfort working in a remote or hybrid setup, with reliable technology and workspace.
