Administrative Assistant – Full Time (Permanent)

Location: Mississauga (On-site)
Hours: Monday to Friday, 9:30 AM – 6 PM and Casually required to work on some weekends.

A top-performing team within RE/MAX Realty Services—is seeking a dedicated Full-Time Administrative Assistant to join our growing team long-term. This role supports a team of agents consistently recognized with prestigious awards including Chairman's Club, Diamond, Hall of Fame, Top 1% TREB, Top 30 Under 30 RE/MAX Canada, and Top 100 RE/MAX Canada & Worldwide.
A personal vehicle is mandatory for tasks such as dropping off signage, delivering feature sheets, meeting clients, and related errands.

Minimum 1 year of real estate admin experience is an asset. We provide extensive training.
QUALIFICATIONS
(Training provided for all areas below)
- Knowledge of MLS systems (TRREB), MREB, MPAC, BrokerBay, WebForms, DocuSign, GeoWarehouse — an asset
- CRM/database experience (KVCore, Top Producer, Referral Maker, etc.) — an asset
- Ability to thrive in a fast-paced environment with strong attention to detail
- Familiarity with social platforms (Instagram, TikTok, Facebook)
- Strong proofreading, writing, and communication skills
- Proficiency with: Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs, Sheets), Canva
- Excellent phone etiquette and email communication
RESPONSIBILITIES
- Provide administrative support to ensure smooth daily operations
- Answer and direct calls, manage messages, and handle correspondence
- Maintain organized electronic and physical filing systems
- Perform accurate data entry and document updates
- Handle confidential information with professionalism
- Prepare and edit letters, reports, emails, and internal documents
- Schedule meetings, appointments, and travel arrangements
- Assist with weekly and monthly reporting
- Order office supplies and source competitive pricing
- Maintain and update contact lists, CRM entries, and team databases
- Submit and reconcile expense reports
- Support agents with listing preparation, signage drops, lockboxes, feature sheets, and client coordination
