About the Department

McMaster Engineering's unique 5-year programs and interdisciplinary minors offer undergraduate students within Engineering and across campus, a unique multi-disciplinary education experience. Many of our courses have strong community and experiential education components embedded within them.

The iLEAD Office (Innovation, Leadership, Engagement, Action, and Discovery) supports and facilitates the academic and experiential learning components within our unique suite of programs and minors. Specifically, our office manages the Engineering & Society Program, the Engineering & Management Program, and three interdisciplinary Minors: Innovation; Sustainability; and Nuclear Studies and Society.

As a highly collaborative office, we work with other departments both within the Faculty of Engineering and across the broader McMaster campus. We also work closely with community partners and industry stakeholders that span many industry sectors.

About the Position

We welcome applications for the position of Community and Engagement Specialist within our team. This unique position will work collaboratively with iLEAD team members and Faculty Directors on the successful development and implementation of a range of activities, such as facilitating new and existing experiential courses and administering the iLEAD Ambassador Program. This role will also be a crucial part of raising awareness of our unique 5-year programs to meet our annual recruitment targets and ensure program goals are met or exceeded.

Job Summary

Responsible for the planning, development, and implementation of communications, engagement, recruitment and promotion initiatives to engage in-course students and attract applicants to an academic program. Support the development and delivery of events, workshops/seminars, programs and services to assist students in areas of skill development and experiential learning for the purpose of enhancing the student experience. Build strategic alliances and liaise with faculty, staff, student groups, student governments, and the greater community to create a culture of collaboration and partnership in ensuring student success.

Representative Duties & Responsibilities

  • Contribute to the design and delivery of workshops and presentations based on research, sound methodology and an understanding of student experiences and needs in response to faculty and student requests.
  • Design and implement evaluation strategies such as surveys, focus groups, and rubrics to measure and assess program outcomes and effectiveness.
  • Develop an effective and efficient program delivery strategy including student-based models, seminars, workshops, and online resources that serve to optimize resources and service capacity.
  • Liaise with various stakeholders to develop annual strategic plans regarding promotion and recruitment including promotional activities, advertising, recruitment materials, and personnel support.
  • Develop project specific budgets for review and approval by management.
  • Cultivate and maintain relationships with campus partners and build partnerships with various stakeholders across the University and the greater community.
  • Initiate collaborations and partnerships using a multi-departmental team approach in support of an integrated approach to providing services and promoting a shared approach for student success.
  • Coordinate effective marketing and promotion of the program's workshops, seminars, presentations, etc. to in-course students.
  • Conduct research and market intelligence surveys.
  • Collaborate with program chairs to draft student survey questionnaires and present data to program chairs.
  • Write content for communication materials including departmental website.
  • Develop and deliver presentations to various audiences.
  • Represent the program at recruitment events and liaise with secondary school teachers, guidance counselors, prospective students, and parents.
  • Plan and coordinate special events, job fairs, and visits to schools and businesses.
  • Conduct program specific tours.
  • Recruit, train, and supervise volunteers and program ambassadors for a variety of program events.
  • Update, maintain and verify database information for program participation for the purpose of program review and reporting.
  • Develop and maintain social media platforms.
  • Source vendors and obtain pricing information.
  • Respond independently to program inquiries.
  • Remain current with frequent developments in social media platforms and trends in the communication field.

Supervision

  • Ongoing responsibility for supervising up to 1-4 casual employees at any one time.
  • Ensures adherence to quality standards and procedures for short-term staff and volunteers.

Qualifications

  • Bachelor's degree in a relevant field.
  • Requires a minimum of 3 years of relevant experience.

  • Experience supporting students in an academic department or program is a strong asset.
  • Experience working in a post-secondary environment is a strong asset.

Additional Information

The Community and Engagement Specialist must be highly organized, detail-oriented and be capable of managing multiple priorities, with strong problem-solving and system-thinking skills. We are looking for a highly motivated and collaborative individual with a strong knowledge of academic policy and processes.

  • Partnering and working with students and volunteers
  • Planning and executing events, both virtually and in-person
  • Proficient in computer applications, including Mosaic (PeopleSoft) and Office 365 (SharePoint, Forms, OneDrive, Excel, PowerPoint, Word, and Outlook)

Flexibility is required to work occasional evenings, weekends and extended hours to meet the demands of the position. This role is currently hybrid. The anticipated schedule is a minimum of 3 days per week on campus, which may be subject to change with future employer and operational needs.
