We play a crucial role in ensuring safe winter aviation operations.

We are seeking a highly organized, proactive and discreet Executive Assistant to support our Co-President. In this pivotal role, you will act as a strategic partner, ensuring the smooth execution of daily priorities while representing the Co-President with professionalism and courtesy.

KEY RESPONSIBILITIES

Strategic & Executive Support


• Support the Co-President in all her strategic, operational and administrative responsibilities.


• Facilitate priority management and ensure proactive follow-ups.


• Prepare executive documentation, reports, and presentations.


• Act as a liaison between senior management, station leaders, teams, and external partners.

Administrative & Organizational Excellence


• Manage a complex and dynamic agenda.


• Coordinate meetings, appointments, and travel.


• Oversee email inbox management.


• Draft, edit, and review communications.


• Ensure efficient management of digital and physical documents.

Internal & External Relations


• Serve as a point of contact for internal and external stakeholders.


• Handle sensitive communications with discretion.


• Maintain strong working relationships with teams.

General Administrative Tasks


• Assist with expense reports and invoice follow-up.


• Support event planning and coordination.


• Contribute to continuous improvement initiatives.

SKILLS & QUALIFICATIONS


• Diploma in business administration or related field.


• 5–7 years of experience in a similar executive support role.


• Strong technical skills in Microsoft 365 and collaborative tools.


• Excellent organizational skills, confidentiality, judgment, autonomy, and proactivity.


• Bilingual French/English communication skills.

RESPONSABILITÉS PRINCIPALES

Soutien stratégique et exécutif


• Soutenir la coprésidente dans ses responsabilités stratégiques, opérationnelles et administratives.


• Faciliter la gestion des priorités et assurer un suivi proactif.


• Préparer des documents exécutifs, des rapports et des présentations.


• Agir en tant que liaison entre la direction, les gestionnaires, les stations et les partenaires externes.

Gestion administrative


• Gérer un agenda complexe et dynamique.


• Organiser des réunions, des rendez-vous et des déplacements.


• Gérer la boîte de courriel.


• Rédiger et corriger des communications.


• Assurer une gestion documentaire efficace.

Relations internes et externes


• Point de contact pour les partenaires internes et externes.


• Gérer des communications sensibles avec discrétion.


• Maintenir de bonnes relations avec les équipes internes.

Tâches administratives diverses


• Soutenir la préparation des rapports de dépenses et le suivi des factures.


• Participer à l'organisation d'événements.


• Contribuer aux initiatives d'amélioration continue.

COMPÉTENCES ET QUALIFICATIONS


• Diplôme en administration ou domaine connexe.


• 5 à 7 ans d'expérience dans un rôle similaire.


• Maîtrise de Microsoft 365 et d'outils collaboratifs.


• Grande organisation, confidentialité, jugement, autonomie, proactivité.


• Excellente communication FR/EN.
