As a Facility Coordinator, you'll oversee space management, supplier coordination, and general office administration for the campus. If you're organized, detail-oriented, and thrive in a fast-paced environment, this is a role for youJob Description:
  • Maintain office efficiency by planning and implementing hoteling systems, layouts, seating assignments, and equipment procurement.
  • Assess furniture needs based on space planning and employee requirements;
    • Liaise with vendors for warranty claims and service requests.
    • Maintain inventory of furniture assets and manage repairs or replacements.
    • Research, source, and purchase furniture in alignment with budget and design standards.
  • Collaborate with internal teams and external vendors to plan and execute office moves and relocations.
  • Manage recycling programs and update office signage.
  • Administer purchase orders and invoices for shared campus services.
  • Handle building maintenance issues and work with the onsite maintenance team.
  • Coordinate incoming and outgoing mail and courier packages with Branch Admin/Receptionist.
  • Liaise with facility management vendors for cleaning, catering, furniture, movers, security, shredding, and other services.
  • Manage security system access, configuration, training, card tracking, and troubleshooting.
  • Ensure safety plans for the campus are up to date and posted in coordination with the Environment, Health and Safety team.
  • Provide general administrative support and assist with ad hoc campus needs.

Day-to-Day Activities:

  • Oversee seating assignments and office layouts.
  • Respond to facility-related inquiries and resolve issues promptly.
  • Coordinate vendor services and ensure compliance with internal policies.
  • Support campus events and maintain a welcoming environment for visitors.

Requirements:

  • Minimum 3+ years' experience as an Office Manager, Front Office Manager, or Office Administrator.
  • Strong interpersonal and customer service skills with the ability to interact at all levels of the organization.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite; extensive experience with MS Office applications.
  • Certifications in project management, bookkeeping, or event planning are considered assets.

Important:

  • This position is based out of our Edmonton head office.
  • Permanent, full-time role.
  • Monday – Friday, 5x2 schedule.
