Penguin HVAC is a fast-growing residential HVAC company based in Vancouver, specializing in heat pumps, furnaces, and high-quality installations. We're looking for a reliable, organized, and proactive admin professional to support daily operations and keep jobs, schedules, and customer communication running smoothly.
This is a part-time role with consistent hours, ideal for someone who enjoys structured administrative work and would also appreciate the opportunity to occasionally contribute creatively to simple marketing materials.
About the Role
You'll be the administrative backbone of the business—handling scheduling, customer communication, invoicing, and paperwork—so technicians and management can focus on execution and growth.
For the right candidate, there is also optional, occasional creative work such as helping with brochures or simple marketing materials. Administrative responsibilities always come first.
Core Responsibilities (Primary Role)
- Answer incoming customer calls and emails professionally
- Schedule service calls and installations
- Manage and update job schedules as changes arise
- Send invoices and follow up on outstanding payments
- Coordinate warranty paperwork and supplier communication
- Organize job files, customer records, and documentation
- Triage email inbox and keep communication flowing
- Support day-to-day operations as priorities shift
Optional / Nice-to-Have (Secondary)
These are not required, but a bonus for the right candidate:
- Assist occasionally with simple marketing materials (brochures, flyers, basic social graphics)
- Light design or layout work using tools such as Canva, Adobe InDesign, Illustrator, or similar
- Creative input on presentation or layout (not branding or website redesign)
Design work is occasional, flexible, and secondary to administrative duties.
Who This Role Is For
You're a strong fit if you:
- Have 2+ years of administrative, dispatcher, or operations experience
- Have worked in HVAC, plumbing, electrical, construction, or property management (strong asset)
- Are confident speaking with customers by phone and email
- Stay organized and calm when schedules change
- Can work independently and take ownership of tasks
- Are comfortable with computers and learning new software
This role may be a good fit for a current or former student in art, design, marketing, or communications who also enjoys structured administrative work.
Requirements
- Must be legally authorized to work in Canada
- Availability during regular Pacific Time business hours
- Ability to attend occasional in-person coordination in Vancouver, BC
- We are not able to sponsor work visas
Work Arrangement
- 15–25 hours per week
- Set, predictable schedule (to be discussed)
- Mostly remote work
- Occasional in-person coordination as needed
Compensation
- $25–35 per hour, depending on experience
- Rate reflects responsibility level and is above Vancouver's living wage
