We are currently seeking a dependable, detail-oriented, and customer-focused Office Clerk / Order Desk Representative & Admin Support to join our team. This is a permanent, full-time position, with eligibility for full-time permanent status following a 3-month probationary period.
Job Summary
This role plays a key part in day-to-day office operations, customer service, and order processing. The successful candidate will handle customer orders, answer phones, provide order updates, perform data entry, and support administrative and basic accounting functions.
The ideal candidate has experience in customer service, order desk or office administration, is comfortable using QuickBooks, and is open to learning and assisting with a variety of office responsibilities.
Key Responsibilities
Customer Service & Order Desk
- Take and process sheet metal flashing orders accurately and efficiently
- Answer all incoming phone calls and assist customers with inquiries
- Communicate with customers via phone, email, and in person
- Quote pricing, verify order details, confirm delivery timelines, and provide order updates
- Check product availability and notify customers when orders are completed
- Liaise with the shop supervisor to ensure orders contain adequate detail
Administrative & Office Support
- Enter orders, invoices, and deliveries into company systems
- Use QuickBooks for invoicing, data entry, and basic bookkeeping tasks
- Perform accurate data entry using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized digital and physical filing systems
- Proofread documents for accuracy and clarity
- Schedule appointments, manage calendars, and coordinate meetings as required
- Handle general office tasks such as filing, scanning, copying, emailing, and shipping coordination
- Support front desk operations by greeting visitors professionally
- Assist with cross-training and other office roles as needed
- Perform other administrative duties as assigned
Requirements
- 3+ years of customer service experience preferred
- Previous experience in an office, order desk, clerical, or administrative role
- QuickBooks experience required
- Proficiency in Microsoft Word and Excel (Outlook and Google Workspace an asset)
- Strong written and verbal communication skills
- Professional and courteous phone manner
- Strong organizational, time management, and multitasking abilities
- High attention to detail and accuracy
- Experience with data entry, filing systems, and multi-line phone systems
- Open availability Monday–Friday, 7:30 AM – 4:00 PM
Preferred Qualifications (Assets)
- Experience with invoicing, billing, or order processing
- Knowledge of the sheet metal or construction industry (not required)
- College or university education (not required)
- Previous medical or dental office front desk experience (asset, not required)
- Willingness to learn new systems and take on additional responsibilities
