Food & Beverage Administrator - Nita Lake Lodge Resort & Spa

We are seeking a highly organized and detail-oriented Food & Beverage Administrator to support the effective and efficient operation of our Food & Beverage department. This role plays a key part in supporting our leaders, ensuring accuracy in administrative processes, and helping maintain smooth day-to-day operations across all outlets.

Key Responsibilities

Food & Beverage Administration

  • Provide administrative support to the Director of Food & Beverage, outlet managers, and supervisors
  • Audit and update departmental schedules, event calendars, and staffing rosters
  • Assist with preparation of financial reports, budgets, and payroll submissions
  • Coordinate internal communications including memos, meeting agendas, and team updates
  • Manage inventory tracking, office supply orders, and departmental forms
  • Process invoices, purchase orders, and vendor communications
  • Audit recipe and costing upkeep, including POS integration
  • Assist with menu updates, formatting, printing, and version control
  • Support month-end and bi-monthly inventory procedures
  • Assist with recording tips and verifying accuracy in alignment with company policy
  • Support development and maintenance of training materials and SOPs
  • Maintain compliance documentation (health & safety logs, certifications, records)
  • Liaise with HR to support onboarding and maintain employee documentation
  • Support and manage operational software tools (e.g., Teams or similar platforms)
  • Manage Food & Beverage platforms including Margins Edge, 7Shifts, AnyDay, Silverware
  • Support POS system and payment device administration including setup, configuration, updates, and troubleshooting

Accounting Administration

  • Assist with accounts payable including receiving, approving, and processing invoices; preparing payments; reconciling vendor statements; and communicating with vendors
  • Support finance with accounts receivable processes including sending invoices and receiving payments

Qualifications & Experience

  • Previous administrative or accounting experience, ideally within hospitality or Food & Beverage
  • Strong organizational skills with excellent attention to detail
  • Proficient in Microsoft Office and administrative systems; experience with POS or inventory software is an asset
  • Strong communication skills with the ability to support multiple stakeholders
  • Ability to manage priorities in a fast-paced environment
  • Professional, reliable, and solutions-focused approach to work

Job Types: Full-time, Permanent

Pay: $23.00-$28.00 per hour

Expected hours: 32 – 40 per week
