Executive Assistant/Immigration Operations

Our client, a team of Canadian and U.S. lawyers focused on business law, immigration, and trust & estates, is seeking an Executive Assistant/Immigration Operations to join their Toronto office.
This role is ideal for someone with at least one (1) year of experience as an Executive Assistant, Legal Assistant, or U.S. or Canadian Immigration Law Clerk (or closely related, lateral position).
This position will provide comprehensive administrative, operational, and organizational support to the Director of Immigration and ensure the smooth execution of legal and operational processes by managing documentation, coordinating daily activities, and improving workflow efficiency. The ideal candidate is detail-oriented, proactive, and skilled at balancing multiple priorities in a fast-paced professional environment. This role requires the handling of highly confidential information with professionalism and discretion.
Responsibilities:
- Preparing meeting agendas, presentations, and reports for internal and external use;
- Maintaining and updating operational databases, spreadsheets, and performance reports;
- Assisting the Director in monitoring and updating budgets, expenses, and purchase orders, in collaboration with finance teams;
- Liaising with vendors, suppliers, and internal teams to ensure efficient operations;
- Assisting with onboarding, HR coordination, and internal communications;
- Coordinating daily business operations across departments;
- Organizing and preparing submissions for various government petitions and applications;
- Assisting in the client intake process and responding to client inquiries through email and telephone; and preforming various administrative duties, as required.
