The Opportunity

We are looking for a highly organized, proactive, and detail-oriented Office Administrator & Permit Coordinator to join our growing team. This role will support both day-to-day office operations and the permitting process with local municipalities and regulatory authorities.

This position is ideal for someone who thrives in a structured yet entrepreneurial environment, enjoys supporting technical teams, and takes ownership of ensuring smooth office and project operations.

What You'll Do :

  • Prepare, complete, and submit permit applications to local municipalities or regulatory authorities.
  • Ensure all documentation is accurate, complete, and submitted in accordance with requirements.
  • Maintain a detailed log and tracking system for all active applications.
  • Follow up with municipalities and authorities to ensure timely review and approval.
  • Schedule and coordinate required inspections.
  • Communicate with internal team members, clients, and municipal staff regarding permit status and inspection requirements.
  • Maintain inventory of office supplies and operational materials.
  • Coordinate incoming/outgoing mail, courier services, and document handling.
  • Support vendor coordination, service contracts, and office maintenance needs.
  • Assist with basic technology setup, troubleshooting, and coordination with IT service providers.
  • Provide general administrative and clerical support.
  • Assist with calendar management, scheduling, and coordination of internal and external meetings.
  • Support preparation of meeting rooms, presentation materials, and logistics.
  • Coordinate travel arrangements when required.

Team Culture & Internal Support

  • Assist with planning team-building activities, internal events, and company initiatives.
  • Support internal communications and collaboration efforts.

Qualifications

  • Minimum 1+ years of office administration experience, ideally in a professional office, construction, engineering, consulting, or municipal permitting environment.
  • Strong organizational and time-management skills.
  • Familiarity with municipal permitting systems is an asset.
  • Basic understanding of building codes is an asset.
  • Clear written and verbal communication skills.
  • Ability to work independently, problem-solve, and prioritize in a fast-paced environment.
  • Proficient with office software tools (Microsoft Office, SharePoint/Teams, or similar platforms).

Compensation

  • Salary range: $45,000–$55,000 (based on experience)
